About the Role

We are looking for a proactive, detail-oriented, and responsible HR Assistant to support our HR consultants in delivering professional HR outsourcing and advisory services to our clients. This role offers exposure to various HR functions, including recruitment, payroll, HR administration, compliance, and client support.

Key Responsibilities1. Recruitment & Talent Acquisition

  • Assist in sourcing candidates through job portals, social media, and internal databases.
  • Screen resumes and shortlist suitable candidates.
  • Schedule interviews and coordinate with candidates and hiring managers.
  • Conduct reference checks and prepare recruitment reports.
  • Maintain candidate database and recruitment tracker.
  • Draft job advertisements and recruitment-related correspondence.
  • Support onboarding and offboarding processes.

2. Payroll Administration

  • Collect and verify payroll-related information from clients.
  • Prepare payroll data for processing.
  • Ensure payroll accuracy before submission.
  • Assist in statutory payroll matters including EPF, SOCSO, EIS, PCB, CP38, and other payroll-related compliance.
  • Prepare payroll reports, payslips, and payroll documentation.
  • Liaise with clients regarding payroll enquiries and discrepancies.

3. HR Administration

  • Maintain employee records and HR documentation.
  • Prepare employment contracts, confirmation letters, warning letters, resignation acceptance letters, and other HR documents.
  • Update HR databases and filing systems.
  • Manage leave, attendance, and employee records where applicable.
  • Coordinate staff onboarding documentation.

4. HR Compliance & Reporting

  • Ensure HR documentation complies with Malaysian Employment Act and statutory requirements.
  • Assist in preparing HR policies, SOPs, and employee handbooks.
  • Prepare monthly HR reports and client reports.
  • Monitor statutory submission deadlines and ensure timely compliance.
  • Support HR audits and documentation reviews.

5. Client Support & HR Advisory Assistance

  • Assist HR Consultants in handling client enquiries.
  • Prepare HR templates, forms, and advisory documents.
  • Follow up with clients regarding outstanding information.
  • Support implementation of HR projects and process improvements.
  • Maintain professional communication with clients.

6. General Administrative Duties

  • Coordinate meetings and appointments.
  • Prepare presentation materials and reports.
  • Organize HR documents and maintain confidentiality.
  • Perform data entry and administrative support.
  • Undertake any other duties assigned by Management from time to time.

Requirements

  • Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Psychology, or a related field.
  • Fresh graduates are encouraged to apply.
  • Candidates with HR or payroll experience will have an added advantage.
  • Good understanding of Microsoft Excel, Word, and PowerPoint.
  • Familiarity with payroll systems is an advantage.
  • Strong organizational skills with excellent attention to detail.
  • Able to manage multiple tasks and work under deadlines.
  • Good communication skills in English and Mandarin (both written and spoken). Bahasa Malaysia is an added advantage.
  • Positive attitude, willingness to learn, and ability to work independently as well as in a team.
