Team & Staff Management
Manage and evaluate the admin team, oversee dispatch and pantry services, act as standby duty officer, and execute directives from the Head of Group HR and Admin.
Office & Facilities Management
Liaise with building management (MCST) on premises upkeep and security systems.
Handle accommodation arrangements for overseas staff.
Oversee regional office lease renewals, new office setups, reinstatement works, and office renovations.
Manage office and apartment parking permits and conduct quarterly checks on company apartments.
Financial & Budget Management
Prepare and review monthly administrative cost reports, including utilities, postage, and copy charges.
Review and manage recovery claims with principals to ensure accuracy.
Work with stakeholders to develop and monitor annual admin budgets and monthly expenses for Singapore operations and regional locations.
Propose and implement process improvements and cost-saving initiatives across regions, ensuring all costs remain within the regional budget.
Project Liaison & Corporate Materials Management
Liaise with regional offices and facilitate HQ-regional communication to support and coordinate group administrative initiatives, projects, and process improvements, ensuring smooth implementation and follow-up.
Track project timelines, administrative deliverables, and resource requirements for group-wide or regional admin projects.
Coordinate and compile all necessary data and content for the annual corporate calendar.
Ensure compliance with group policies and consistency in corporate branding across all materials.
Support cross-functional collaboration involving Admin, HR, IT, and Facilities for special projects or office setups.
Compliance & Safety
Ensure compliance with fire safety regulations, renewal of electrical licenses, and maintenance of security systems.
Staff Engagement
Partner with HR Team to implement engagement initiatives and events that promote an inclusive culture, collaboration, and employee well-being across departments.
Requirements
Diploma/Degree in Business Administration, Management, or a related field.
Proven experience in administrative management, preferably within a multi-regional or logistics environment.
Experience in facilities management.
Strong knowledge of inventory and distribution management principles.
Experience in implementing and managing organizational policies and procedures.
Excellent communication and interpersonal skills, with the ability to work collaboratively across teams and regions.
Analytical mindset with the ability to monitor trends and make data-driven decisions.
