Job Summary

We are seeking a detail-oriented and responsible Documentation Executive to support our Customer Service and Freight Forwarding operations in Penang.

The successful candidate will be responsible for preparing ocean freight documentation, coordinating with shipping partners, monitoring shipments, processing billing information, and maintaining accurate operational records.

Key Responsibilities

• Prepare and process ocean freight documentation, including Bills of Lading, manifests and customs declarations.
• Coordinate with shipping lines, co-loaders, overseas agents and other logistics partners.
• Review shipping instructions and ensure all documentation is accurate and completed on time.
• Verify supplier and customer invoice details to ensure accurate billing.
• Track shipment progress and provide timely updates to customers.
• Support the daily operational requirements of the Customer Service and Freight Forwarding departments.
• Maintain proper records, reports and filing of shipping documents.
• Organise and maintain both digital and physical filing systems.
• Follow up on outstanding documents and resolve documentation discrepancies.
• Ensure all documentation complies with company procedures and relevant shipping requirements.

Requirements

• Diploma or Degree in Logistics, Supply Chain Management, Business Administration or a related field.
• Minimum 1–2 years of experience in sea freight documentation, freight forwarding or logistics operations.
• Familiarity with Bills of Lading, shipping manifests and customs documentation.
• Good knowledge of Microsoft Office applications.
• Familiarity with freight forwarding or logistics software will be an advantage.
• Strong attention to detail and accuracy.
• Good communication and coordination skills.
• Able to work independently and manage multiple assignments.
• Able to meet tight deadlines in a fast-paced working environment.
• Fresh graduates with relevant internship or logistics experience may also be considered.
