Job Summary
The HR & Admin Executive supports the daily HR and administrative operations for the retail business, including recruitment, employee records, payroll support, store staff administration, training coordination, and office management. This role ensures smooth HR processes and provides timely support to retail outlets and HQ.
Key Responsibilities
HR Operations
- Maintain and update employee records, personal files, and HR databases (attendance, leave, store rosters, etc.).
- Assist in end-to-end recruitment for retail staff and HQ roles: posting job ads, screening candidates, arranging interviews, preparing offer letters.
- Coordinate onboarding and offboarding processes, including orientation, ID creation, uniform issuance, and exit procedures.
- Support monthly payroll preparation by compiling attendance, overtime claims, incentives, and allowances.
- Ensure compliance with labor laws, retail industry regulations, and company HR policies.
- Handle employee relations matters such as grievances, disciplinary actions, warnings, and counselling sessions.
- Monitor and track staff performance, KPI achievements, and probation confirmations.
- Coordinate training programs for retail staff (customer service, product knowledge, safety, etc.).
- Manage foreign worker documentation (if applicable): permits, renewals, hostel arrangements.
Retail Staff Administration
- Liaise with Store Managers on staffing needs, scheduling, leaves, and attendance issues.
- Support manpower planning for peak seasons, promotions, and store events.
- Ensure effective communication between HQ HR and retail outlets.
Administrative Support
- Handle general office administration: stationery, office supplies, maintenance, vendor coordination.
- Manage company documents, letters, contracts, and confidential files.
- Assist in organizing company events, staff engagement programs, celebrations, and meetings.
- Support management in preparing reports, presentations, and HR analytics.
Requirements
Qualifications
- Diploma/Degree in Human Resources, Business Administration, or related field.
- Minimum 2–3 years of HR/Administration experience, preferably in retail.
Skills & Competencies
- Knowledge of Malaysian Labour Law, Employment Act
- Strong communication, interpersonal, and problem-solving skills.
- Ability to multitask and work independently in a fast-paced retail environment.
- Proficient in Microsoft Office (Excel, Word, PowerPoint) and HR software.
- Good time management, confidentiality, and attention to detail.
Additional Information
- Working Hours: Monday–Saturday (9.00am to 5.30pm)
- Availability to support retail operations during weekends/public holidays when needed.
- Travel to retail outlets may be required.
