Payroll Operations
- Manage monthly payroll processing cycle in coordination with payroll vendor including data validation, salary computation, reconciliation and approval.
- Validate all inputs (new hires, terminations, salary revisions, allowances, overtime, variable pay, etc.) from Workday and other HR systems.
- Ensure payroll calendars are followed and pay runs are completed on time without error.
- Review net pay reports and ensure sufficient funds are available for timely disbursement.
- Coordinate with Treasury for payment processing and ensure zero delays in salary crediting.
- Conduct payroll variance analysis month on month to identify anomalies and ensure accuracy.
Compliance & Reporting
- Ensure adherence to tax regulations, and social insurance requirements.
- Oversee statutory filings and coordinate with vendors for timely submissions to authorities.
- Maintain proper documentation and audit trails for payroll-related transactions.
- Monitor legislative updates and assess the impact on payroll processes, proactively driving required changes with the vendor.
- Ensure statutory year-end processes (e.g., year-end tax adjustment, resident tax update) are completed accurately and on schedule.
- Provide monthly/ quarterly/ annual reports to finance
- Support forecasting of payroll costs, bonuses, and statutory liabilities for accurate financial planning.
Vendor & Stakeholder Management
- Serve as the primary contact for the payroll vendor, ensuring SLA adherence, timely escalation, and issue resolution.
- Conduct monthly and quarterly vendor performance reviews and identify continuous improvement actions.
- Maintain process documentation, RACI, and standard operating procedures to support strong payroll governance.
- Support audits (internal and external) by ensuring all payroll data, approvals, and reconciliations are complete and accessible.
Employee Experience & Support
- Address and resolve payroll-related queries promptly through ServiceNow or equivalent ticketing system.
- Support audits, internal controls testing, and compliance reviews.
- Participate in global or regional payroll improvement initiatives and system enhancements (e.g., Workday, ServiceNow). Time activities
Time Tracking Activities (Where applicable)
- Control time off & time tracking data and share with payroll, prepare local reporting, ensure compliance.
Process Improvement & Transformation
- Participate in regional or global payroll transformation initiatives (e.g., automation, Workday integration etc).
- Identify process simplification opportunities.
- Support testing, validation, and change management during payroll system upgrades or vendor transitions.
