Responsibilities

Job Responsibilities

  • Lead, supervise, and provide guidance to the Project Administration team across multiple projects.
  • Plan, assign, and monitor the daily workload of Project Administrators to ensure timely and accurate completion of tasks.
  • Ensure consistency and compliance with company policies, procedures, and documentation standards.
  • Review administrative processes and recommend improvements to enhance efficiency and productivity.
  • Coordinate with Project Managers, Finance, Contracts, HR, Procurement, and other departments to support project operations.
  • Oversee document control, filing systems, database maintenance, and record management.
  • Ensure payment submissions and supporting documents are uploaded accurately and on time through the company's in-house system.
  • Handle confidential information with professionalism and discretion.
  • Coach, train, and support Project Administrators to improve their performance and capabilities.
  • Prepare periodic administrative reports and monitor team performance.
  • Perform other administrative and leadership duties as assigned by Management.

Job Requirements

  • Diploma or Bachelor's Degree in Business Administration or a related discipline.
  • Minimum 5 years of administrative experience, with at least 2 years in a supervisory or team lead role.
  • Experience leading an administration team, preferably in the construction, engineering, or project-based industry.
  • Strong leadership, planning, and people management skills.
  • Excellent communication and interpersonal skills.
  • Able to prioritize tasks, work under pressure, and manage multiple projects simultaneously.
  • Proficient in Microsoft Office (Excel, Word, Outlook) and document management systems.
  • Experience with ERP or in-house systems is an advantage.
  • A proactive, responsible, and solution-oriented mindset.

  • West, Singapore

Key Responsibilities of the Admin Lead

This role is responsible for:

  • Supervising all Project Administrators.
  • Allocating manpower and balancing workloads among projects.
  • Standardizing administrative processes across projects.
  • Ensuring all project documentation and payment submissions are completed accurately and on schedule.
  • Acting as the main point of contact between the administration team and management.
  • Mentoring and developing the administrative team.
