Job Summary
We are seeking a proactive Personal Assistant to deliver comprehensive administrative and personal support, managing schedules, coordinating travel, and handling confidential matters with professionalism and discretion in a dynamic environment.
Responsibilities
- Manage and coordinate calendars, meetings, and appointments to optimize time and priorities
- Schedule, confirm, and organize personal and business commitments efficiently
- Track and ensure timely payment of personal bills to maintain financial order
- Liaise with vendors, service providers, government agencies, business contacts, and stakeholders to facilitate smooth operations
- Act as a personal concierge by booking restaurants, making travel arrangements, securing tickets and appointments, and coordinating lifestyle requests
- Prepare detailed travel itineraries including accommodation, transport, and logistics for seamless travel experiences
- Travel overseas at short notice when required to support business or personal needs
- Handle confidential information with discretion to maintain privacy and trust
- Perform additional administrative and ad hoc duties as assigned to support overall effectiveness
Required competencies and certifications
- Strong organizational and time management skills demonstrated by managing complex schedules and priorities
- Excellent verbal and written communication skills in English to interact clearly and professionally
- Proficiency in Microsoft Office, Google Workspace, and common productivity tools to enhance efficiency
- Tech-savvy with the ability to quickly learn and apply new applications for improved workflow
- Ability to multitask, prioritize effectively, and work independently with minimal supervision to meet deadlines
- Resourcefulness and strong problem-solving skills to address challenges proactively
- High level of integrity, professionalism, and confidentiality in handling sensitive information
- Flexibility to work outside regular hours when required to meet urgent demands
- Possession of a valid passport and readiness to travel overseas on short notice for business or personal support
Preferred competencies and qualifications
- Previous experience as a Personal Assistant, Executive Assistant, Office Manager, or similar role to bring relevant expertise
- Experience coordinating travel and managing complex schedules to ensure smooth logistics
- Established network or familiarity with restaurants, hotels, concierge services, and lifestyle bookings to enhance service quality
