About the Organization

Our Client is a foreign Business Council established in Malaysian for over 40 years. On behalf of our client we are seeking a highly organized, proactive, and dynamic Administrative Manager. The Business Council plays a pivotal role in driving trade, fostering public-private dialogue, and supporting key business leaders and corporate stakeholders.

The Role

As the Administrative Manager, you will be part of a small team that serves as the operational backbone of the Council’s executive office. You will oversee daily administrative workflows, coordinate l governance meetings and council events and activities, manage membership and relations, and ensure the seamless execution of the Council's initiatives and events.

Key Responsibilities
  • Operational & Office Management: Oversee day-to-day office operations, facilities management, vendor relationships, and administrative budgets.
  • Governance & Board Support: Coordinate Executive Committee and sub-committee meetings, including preparing agendas, compiling board packs, taking minutes, and tracking action items.
  • Member & Stakeholder Engagement: Serve as a key administrative liaison for members , handling inquiries, managing database records, and supporting member onboarding and renewals.
  • Event & Project Coordination: Assist in organizing council events, annual general meetings (AGMs), networking events, and trade delegations.
  • Financial Administration: Process invoices, assist with financial record-keeping, and liaise with external accountants or finance teams.
Key Qualifications & Skills
  • Experience:
  • Ideally, 3+ years of experience in administrative, office management, or executive support roles, ideally within a business association, chamber of commerce, corporate legal department, or professional services firm.
  • Education:
  • Ideally you should be a Degree or Diploma holder in a discipline such as Business Administration, Management, or Accountancy. However will consider any candidate with appropriate training or experience in the areas listed above.
  • Skills:
  • Good written and verbal communication skills in English and Bahasa Malaysia.
  • Strong organizational and multi-tasking abilities with high attention to detail.
  • Experience supporting executive boards or senior leadership teams.
  • Proficiency in MS Office Suite, CRM software, and virtual meeting platforms; and familiarity with social media platforms and usage.
