Job Summary:
We are seeking a meticulous and dependable Business Admin Executive to help keep the company organized, compliant, and well-documented. Sitting within the Business Administration department, you'll support SOPs, company policies, legal and compliance coordination, and cross-department follow-ups to ensure the business runs smoothly and accountably. This role focuses on operations, compliance, and documentation.
Key Responsibilities:
- Drafts and prepares contracts, agreements, and related legal documents; maintains the contract tracker, sends advance reminders, gathers supporting documents for the lawyer, and escalates time-sensitive items.
- Manages trademark and intellectual property applications and renewals, checks filings for accuracy, keeps the IP register updated, liaises with external counsel, and follows up on status updates.
- Supports corporate governance matters, including maintaining statutory records, coordinating regulatory filings, and ensuring deadlines and requirements are met.
- Coordinates product compliance and certifications, tracking requirements, processing renewals, and maintaining supporting documentation to ensure products meet regulatory standards.
- Maintains company licenses and permits, processes applications and renewals, and ensures nothing lapses.
- Keeps company files, official documents, contracts, and certificates organized, version-controlled, and audit-ready.
- Follows up across teams, collects status updates, and surfaces blockers to the manager.
- Assists leadership with planning inputs, documentation, and business follow-ups.
- Assists the manager in upkeeping SOPs and policies, drafting and formatting procedures, keeping the master file controlled and current, circulating policy documents, tracking acknowledgements, and flagging anything outdated.
Requirements:
- Diploma or Bachelor's degree in Business Administration, Business, Operations, or a related field
- Fresh graduates are welcome to apply; training will be provided.
- Proficient in Microsoft Office (especially Excel) and Google Workspace
- Able to handle confidential information with discretion
- Self-motivated and able to work independently or as part of a team.
- Comfortable working in a fast-paced environment and meeting deadlines.
- Fluent in Mandarin to communicate effectively with China-based suppliers.
Pay: $2,800.00 - $3,800.00 per month
Work Location: In person
