Position Summary
The Chief Operating Officer (COO) is responsible for leading the day-to-day operations of MedicMesir and ensuring that all departments operate efficiently, professionally, and in alignment with the company's strategic objectives.
The COO will translate the CEO's vision into operational execution, ensuring exceptional student experience from enquiry until graduation. The role oversees admissions, student services, finance coordination, marketing operations, HR, compliance, CRM performance, digital transformation, and organisational growth.
The COO serves as the second-in-command of the organisation and is accountable for operational excellence, profitability, customer satisfaction, and continuous improvement.
Key Responsibilities1. Strategic Leadership
- Execute the strategic direction established by the CEO.
- Develop annual operational plans and departmental KPIs.
- Lead expansion into new universities, programmes and international partnerships.
- Drive organisational growth and operational scalability.
- Represent MedicMesir in meetings with universities, government agencies and strategic partners when delegated.
2. Student Recruitment & Admissions
Oversee the complete admission journey including:
- Lead Management
- Student Counselling
- Application Processing
- Offer Letter Management
- Visa Documentation
- Departure Preparation
- Arrival Coordination in Egypt
- Student Welfare
Ensure every student receives excellent service from first enquiry until graduation.
3. Operations Management
Manage the daily operations of:
- Student Admissions
- Student Affairs
- Marketing Department
- Digital Marketing
- CRM Operations
- AI Chat Operations
- Finance Administration
- Human Resources
- Documentation Team
- University Liaison Team
- Customer Service
Develop SOPs for every department.
Implement continuous process improvement to reduce errors and increase efficiency.
4. Sales Performance
Responsible for achieving company sales targets.
Monitor:
- Daily Leads
- Conversion Rate
- Cost Per Lead
- Cost Per Acquisition
- Monthly Enrolment
- Revenue
- Collection Rate
Conduct weekly Sales Performance Review.
Coach Student Counsellors to improve closing ratios.
5. CRM & AI Operations
Ensure effective implementation of:
- CRM System
- AI Student Counsellor
- WhatsApp AI
- Marketing Automation
- Lead Nurturing
- Sales Dashboard
Monitor:
- Response Time
- Lead Follow-up
- Lost Leads
- Pipeline Management
6. Marketing Operations
Work closely with the Marketing Department to ensure:
- Daily TikTok Live
- Social Media Campaigns
- Open Day Events
- School Visits
- Corporate Presentations
- Digital Advertising
- Brand Awareness
Review marketing ROI monthly.
7. Student Experience
Ensure high-quality service across the entire student journey.
Monitor:

- Documentation Accuracy
- University Communication

8. Human Resource Management
Lead all department heads.
Responsible for:
- Recruitment

Create a high-performance culture.
9. Financial Management
Work with the Finance Department to monitor:
- Revenue
- Expenses
- Profitability

Review monthly management accounts.
Recommend operational cost improvements.
10. Compliance & Governance
Ensure compliance with:
- Malaysian regulations
- Egyptian university requirements
- Immigration procedures
- Student documentation
- Company SOPs
- Personal Data Protection requirements
Maintain operational risk register.
11. Partnership Management
Manage relationships with:
- Universities in Egypt
- Malaysian Government Agencies
- MARA
- Sponsors
- Hospitals

Maintain long-term collaboration.

Authority
The COO has authority to:
- Approve operational expenditure within approved limits.
- Recruit operational staff within the approved manpower plan.
- Implement operational policies.
- Assign departmental KPIs.
- Recommend organisational restructuring.
- Negotiate operational agreements with approval from the CEO where required.
Qualifications
- Bachelor's Degree in Business Administration, Management, Marketing or related field.
- MBA or Master's Degree is an advantage.
- Minimum 10 years' senior management experience.
- Experience leading multi-department organisations.
- Experience in higher education, international student recruitment, healthcare or service industries is highly preferred.
- Strong financial and commercial acumen.
- Proven experience in digital transformation and CRM implementation.
- Excellent leadership, negotiation and communication skills.
