Job Title: Operations Coordinator (Logistics & Quality)

Location: Kuala Lumpur, Malaysia
Employment Type: Full-Time

About the Role

We are looking for a motivated and proactive Operations Coordinator (Logistic & Quality) to join our growing steel trading team in Kuala Lumpur. This position is ideal for a university graduate with approximately 3 years of working experience who is eager to build a long-term career in Operations covering Logistics and Quality functions.

Comprehensive on-the-job training will be provided to help you develop product knowledge and industry expertise in steel products and related applications.

Key Responsibilities

Logistics & Supply Chain

  • Plan and execute all post-award project activities.
  • Negotiate rates with freight forwarders and service providers.
  • Monitor production timelines to ensure on-time delivery.
  • Expedite orders with trading partners and suppliers.
  • Prepare/submit export/import documents (Invoices, Packing Lists, BL, COO).
  • Provide weekly status updates to clients and sales teams.

2. Quality Assurance & Control (QA/QC)

  • Review mill test certificates against international material standard such as ASTM, API, EN, etc.
  • Coordinate third-party inspection (TPI) agencies per contract terms.
  • Review inspection reports and manage and resolve non-conformance issues (NCRs).
  • Serve as the main point of contact between client/vendor for all quality matters.
  • Compile and deliver final project quality documentation packages.

3. Project Administration

  • Track payables and receivables accurately.
  • Generate and submit client invoices with supporting documents per client requirements (100% TT, milestone, LC payments).
  • Manage monthly petty cash and process payment vouchers.

Requirements

  • Bachelor’s degree in Engineering, Logistics, Supply Chain, or related disciplines.
  • Approximately 3 to 5 years of working experience in Logistics, Supply Chain, Quality, or related functions.
  • Fresh graduates with strong communication skills may also be considered.
  • Fluent level of written and spoken English.
  • Willingness and ability to communicate with international clients, Vendors and service providers at different levels of their organizations.
  • Proficient in Microsoft Office applications (Excel, Word, Outlook).
  • AI literacy
  • Strong interpersonal and communication skills.
  • Confident in interacting with people at all levels, both internally and externally.
  • Well-organized with good attention to detail.
  • Ability to multitask and work effectively in a fast-paced environment.
  • Positive attitude, willingness to learn, and strong sense of responsibility.
  • Self-motivated, proactive, and able to work independently as well as part of a team.
