Job Description

Responsibilities

Finance Executive Assistant/Finance Assistant is responsible for assisting in maintaining financial accuracy, compliance with company policies and statutory requirements, and improving operational efficiency through effective processes, systems, and administrative practices. The role also responsible to provide comprehensive support in finance, accounting, and administrative operations by ensuring accurate financial record-keeping, timely processing of transactions, proper documentation, and effective coordination of business support activities.

Key responsibilities:

1. Finance & Accounting

  • Maintain accurate and up-to-date financial records, including invoices, receipts, payments, petty cash, and other financial transactions.
  • Process accounts payable and accounts receivable, ensuring timely payments and collections.
  • Assist in preparing monthly financial reports, including Profit & Loss Statements, Balance Sheets, Cash Flow Statements, and other management reports.
  • Reconcile bank statements, supplier statements, and financial records to ensure accuracy.
  • Prepare payment vouchers, issue invoices, and support the month-end and year-end closing processes.
  • Maintain proper filing and documentation of financial records in accordance with company policies and statutory requirements.
  • Liaise with banks, external auditors, tax authorities (e.g., LHDN), company secretaries, and other relevant parties as required.
  • Ensure compliance with applicable accounting standards, statutory regulations, and internal financial policies.
  • Assist in budget monitoring, expense tracking, and financial analysis when required.

2. Administration

  • Maintain an organized and systematic filing system for financial records, contracts, official documents, and company correspondence.
  • Coordinate office administrative activities, including procurement of office supplies and general office maintenance.
  • Prepare and manage business correspondence, reports, agreements, meeting minutes, and other administrative documents.
  • Maintain accurate records of company assets, licenses, and statutory documents where applicable.
  • Provide administrative support to management and other departments as required.
  • Assist with basic Human Resources administrative functions, including employee records, leave administration, onboarding documentation, and payroll preparation where applicable.

3. Process Improvement & Systems Support

  • Review existing finance and administrative processes and recommend improvements to enhance efficiency, accuracy, and internal controls.
  • Support the implementation, maintenance, and optimization of accounting software, digital filing systems, and financial management tools (e.g., Xero, AutoCount, SQL Accounting, Google Workspace).
  • Assist in developing and documenting Standard Operating Procedures (SOPs) for finance and administrative functions.
  • Promote continuous improvement initiatives by identifying opportunities to streamline workflows and reduce operational inefficiencies.
  • Support digital transformation initiatives and ensure proper maintenance of electronic records and documentation.

Skills & Requirements:

1. Diploma in Finance, Accounting, or a related field.

2. Minimum 1-3 years of relevant experience in finance and/or administrative roles.

3. Proficient in Microsoft Excel and accounting software (e.g., SQL, Xero, AutoCount).

4. Well-organized, able to work independently, and proactive in solving problems.

5. Disciplined, detail-oriented, and able to maintain confidentiality.

6. Experience in restructuring or improving financial/admin systems in a previous role would be added advantages.

7. Able to start work immediately or within a short notice period.
