Job Description

Responsibilities

Key Role Objectives: -

To provide analytical, coordination and execution support to the Head of CEO Office across corporate planning, enterprise performance management, strategic projects, executive governance and stakeholder follow-through to ensure that organisational priorities are translated into clear actions, reliable management information and timely deliverables.

The role serves as the working-level focal point for consolidating and analysing cross-functional information, monitoring CEO and Board-directed actions, coordinating strategic initiatives and preparing executive-level reports and recommendations. The position supports effective decision-making and execution without duplicating the authority or ownership of operational and functional divisions.

Principle Accountabilities

1. Coordinate the collection, validation and consolidation of divisional inputs for the development, implementation and periodic review of the Company's corporate strategy, annual business plan and strategic roadmap.

2. Conduct business, industry, competitor and regulatory analysis, including benchmarking and scenario assessment, and prepare evidence-based observations and recommendations for management consideration.

3. Coordinate the corporate and divisional KPI reporting cycle, including submission timelines, data validation, supporting evidence and alignment with approved strategic targets.

4. Analyse performance results, trends, variances and underlying issues, and prepare dashboards, scorecards and management insights for executive and performance review meetings.

5. Track agreed corrective actions and performance improvement measures, follow up with accountable divisions and escalate material delays, data gaps or unresolved issues to the Head of CEO Office.

6. Maintain the master action tracker for CEO directives, Board decisions, Management commitments and enterprise-wide priorities, ensuring clear ownership, timelines, status and supporting evidence.

7. Prepare accurate briefing notes, executive presentations, decision summaries, meeting materials and initial drafts of management or Board papers for review by the Head of CEO Office.

8. Coordinate assigned strategic projects and transformation initiatives by maintaining implementation plans, milestones, dependencies, risks, issues, decisions and benefits-tracking records.

9. Assess the completeness and consistency of project updates, identify execution risks or interdependencies, and recommend appropriate follow-up or escalation to the Head of CEO Office.

10. Facilitate project and cross-functional review meetings, document decisions and action items, and monitor delivery against agreed timelines and outcomes.

11. Coordinate the timely preparation and quality review of executive submissions, business cases, strategic proposals and corporate reports before escalation to the Head of CEO Office.

12. Work with the relevant governance, finance, risk, legal, integrity and operational functions to ensure that submissions contain complete, accurate and properly supported information without assuming ownership of those functions.

13. Maintain effective document control, version management, records and secure handling of confidential CEO Office, Board and corporate information.

14. Act as the working-level liaison for assigned matters involving internal divisions, MARA Corporation, MARA, government agencies, strategic partners and other stakeholders, in accordance with approved protocols.

15. Coordinate meetings, information requests, executive correspondence and follow-up actions, and ensure that stakeholder commitments are accurately recorded and monitored.

16. Support organisational transformation, digitalisation and process improvement initiatives through process analysis, data evaluation, change coordination and implementation monitoring.

17. Identify opportunities to improve CEO Office reporting, tracking, governance and coordination processes, and develop practical recommendations for management consideration.

18. Provide work guidance and quality checks to junior team members, administrative support staff or PROTÉGÉ participants on assigned CEO Office deliverables, while supporting their capability development.

19. Demonstrate integrity, sound judgement, accountability, professionalism and discretion; comply with Company policies, governance requirements and lawful instructions, and perform other related duties assigned within the scope of the position.

Skills and competencies:

  • Strategic project coordination, PMO disciplines and action tracking.
  • Business research, data validation, analytical thinking and the ability to convert KPI results and variances into clear management insights.
  • Strong report writing, executive presentation and business communication skills in Bahasa Malaysia and English.
  • Proficiency in Microsoft Excel, PowerPoint and Word; Power BI or other data visualisation tools will be an added advantage.
  • Cross-functional coordination, stakeholder management, influencing, planning, prioritisation and follow-through.
