About Our Client

My client has over 15 years experience in the Asia markets and is a trusted firm in the buy side community. They are urgently looking for an EA to support the Corporate Access team. Candidates must come from Financial Services background and ideally any client engagement teams. This is a 1.2 support and will require someone who can operate with strong time management skills and a multi-tasker.

Job Description

As an Executive Assistant, your main responsibilities will include:

  • Managing executive calendars, scheduling meetings, and organising travel arrangements for senior management.
  • Preparing and reviewing documents, presentations, and reports with accuracy and efficiency.
  • Coordinating communication between internal teams and external stakeholders.
  • Handling confidential information with discretion and professionalism.
  • Organising and maintaining an effective filing system for documents and correspondence.
  • Providing support for special projects and initiatives as directed by senior executives.
  • Ensuring smooth day-to-day operations within the secretarial and business support department.
  • Assisting with event planning and execution for internal and external meetings.
  • Liaising with third parties eg brokers etc for client engagement meetings.
The Successful Applicant

A successful Executive Assistant should have:

  • Higher education in business administration or relevant
  • Over 10 years solid experience in secretarial support in Financial services
  • Strong organisational and time management skills to handle multiple priorities effectively.
  • Proficiency in office software, including word processing, spreadsheets, and presentation tools.
  • Excellent communication skills, both written and verbal, in English Cantonese and Mandarin
  • A professional demeanour with the ability to work under pressure and meet deadlines.
  • A proactive attitude and the ability to anticipate the needs of senior executives.
