Senior Human resource and Admin Executive

Key Responsibilities :

  • Support end-to-end recruitment activities including job postings, candidate sourcing, interview scheduling, reference checks, and onboarding coordination.

  • Maintain recruitment trackers and ensure timely closure of vacancies.

  • Prepare employment contracts, onboarding documents, and new hire orientation materials.

  • Assist in building and maintaining a talent pipeline for future hiring needs.

  • Maintain accurate employee records, personnel files, and HR databases.

  • Handle employee confirmations, transfers, leave records, attendance, and exit documentation.

  • Ensure all employee information is updated and maintained

  • Prepare HR letters including employment certificates, confirmation letters, promotion letters, and disciplinary notices.

  • Assist with monthly payroll preparation and verification.

  • Coordinate employee benefits administration, insurance enrollments, and claims processing.

  • Maintain leave records and attendance reports.

  • Support annual salary review and compensation benchmarking exercises.

  • Respond to employee enquiries regarding HR policies, benefits, and workplace matters.

  • Assist in resolving employee concerns and escalating issues when necessary.

  • Coordinate employee engagement, wellness, team-building, and recognition activities.

  • Support the development of a positive and collaborative workplace culture.

  • Oversee day-to-day office administration and ensure smooth office operations.

  • Manage office supplies, stationery, pantry, courier services, and vendor relationships.

  • Coordinate travel arrangements, accommodation bookings, and meeting logistics.

  • Maintain office facilities and liaise with building management and service providers.

  • Support company events, meetings, and corporate activities.

HR Reporting, Training and AI technology :

  • Maintain HR reports, dashboards, and employee databases.

  • Generate monthly reports on headcount, recruitment status, leave utilization, training completion, and employee turnover.

  • Utilize AI tools such as ChatGPT and HR technology platforms to:

  • Draft job descriptions

  • Create interview questionnaires

  • Prepare HR communications

  • Generate training content

  • Assist in employee engagement initiatives

  • Improve administrative efficiency

  • Identify opportunities to automate repetitive HR and office administration processes.

Policies, Compliance and Documentation:

  • Support implementation of HR policies, procedures, and employee handbook guidelines.

  • Ensure compliance with company policies and applicable labor regulations.

  • Maintain confidential employee and company information.

  • Assist with HR audits and compliance documentation.

Ad Hoc Support :

  • Provide administrative support to management and department heads.

  • Assist in special projects and business initiatives as assigned.

  • Undertake additional HR and office administration responsibilities as required.

Requirements :

  • Bachelor's degree in Human Resources, Business Administration, or related discipline.

  • Minimum 5–8 years of experience in HR and office administration.

  • Hands-on experience in recruitment, onboarding, payroll support, employee relations, and office management.

  • Good knowledge of employment laws and HR best practices.

  • Familiarity with AI tools such as ChatGPT, Microsoft Copilot, or similar technologies for HR and administrative tasks.

  • Strong organizational and multitasking abilities.

  • Excellent communication and interpersonal skills.

  • Ability to work independently and maintain confidentiality.

  • Detail-oriented with strong problem-solving skills.

  • Proficiency in Excel, Word, PowerPoint.

  • Excellent verbal and written communication skills in English & Cantonese. Fluency in Mandarin is preferred. Ability to communicate confidently with employees at all levels and across different cultural backgrounds.
