The Facilities & Commercial Executive supports the Commercial Department in project coordination, space planning, and facilities-related initiatives, while also contributing to broader commercial functions as required. The role covers project layout and design coordination, renovation and facilities project management, on-site measurement and contractor liaison, and other project-based assignments directed by Management.

KEY RESPONSIBILITIES

Project Layout & Design Coordination

Coordinate project layout planning and design requirements for company facilities and client/site premises (e.g. clinic layouts), working with relevant designers, consultants, or contractors.

Prepare and review space planning drawings, layout proposals, and design mock-ups for management approval.

Conduct on-site measurements and surveys to support accurate project planning and costing.

Renovation & Facilities Project Management

Coordinate and monitor company renovation and facilities improvement projects from planning through to completion.

Liaise with contractors, vendors, and suppliers on project scope, timelines, quotations, and quality of work.

Track project milestones, budgets, and timelines, and escalate issues or delays to Management promptly.

Ensure completed work meets agreed specifications, safety standards, and company requirements prior to sign-off.

Commercial Support

Support the Commercial Department with project-related administrative tasks, documentation, and reporting.

Assist in vendor/contractor sourcing, quotation comparison, and procurement coordination for project-related needs.

Provide general commercial and marketing support as assigned, working alongside the Commercial team.

IT & Systems Support

Provide basic first-level IT assistance to staff (e.g. hardware setup, printer/network connectivity, software installation) and escalate more complex issues to external IT support/vendor as needed.

Assist in coordinating IT-related equipment procurement, maintenance, and inventory (computers, printers, networking devices) across sites.

Support the setup and troubleshooting of IT equipment for new hires, renovations, or office relocations.

Ad-Hoc & Management-Directed Assignments

Undertake special projects and assignments as directed by Management, maintaining discretion and confidentiality where required.

Perform any other duties as assigned by the Head of Commercial / Management.

REQUIREMENTS / Keperluan Jawatan

Education & Experience

Diploma or Bachelor's Degree in Interior Design, Architecture, Draughtsmanship, or related design/technical field (strongly preferred).

Minimum 2–3 years of relevant experience in design/layout drafting, project coordination, facilities management, or renovation/fit-out projects.

Candidates with a strong design/AutoCAD portfolio and experience liaising with contractors on site-based projects are strongly preferred.

Skills & Competencies

Proficient in design and layout planning software — AutoCAD (mandatory), with SketchUp, Adobe Illustrator/Photoshop, or 3D rendering tools considered an added advantage.

Strong sense of space planning and design, with ability to translate concepts into accurate technical drawings and layouts.

Strong project coordination and organizational skills, with ability to manage multiple concurrent projects.

Good negotiation and vendor/contractor management skills.

Good command of English and Bahasa Malaysia, both written and spoken.

Proficient in Microsoft Office (Word, Excel, PowerPoint).

Basic IT troubleshooting knowledge (hardware, software, network connectivity) to assist staff with common IT issues.

High level of discretion, integrity, and confidentiality, given exposure to Management-directed and sensitive assignments.

Willingness to travel between sites (SP1, SP2, Beranang) and to project/client sites as required.

Working Conditions

Normal office hours with regular travel to project and site locations for measurement, supervision, and contractor coordination.

May require flexibility in working hours during active renovation/project phases.

Pay: RM2,000.00 - RM3,500.00 per month
