Job Description

Responsibilities

Weave Living is Asia-Pacific's leading living sectorspecialist, providing thoughtfully designed rental accommodation andcommunity-focused living experiences. We are looking for a proactive anddetail-oriented Financial & Administrative Assistant tosupport our Finance, HR Operations, and Office Administration functions inSingapore.

This is an excellent opportunity for a highly organizedindividual who enjoys working across multiple business functions andcontributing to the smooth day-to-day operations of a growing company.

Key Responsibilities

Finance & Billing Administration

  • Assist with the preparation and issuance of invoices, debit notes, and credit notes.
  • Support tenant billing processes and ensure timely and accurate invoicing.
  • Monitor payment status and assist with accounts receivable tracking and follow-ups.
  • Maintain financial records and filing systems, ensuring supporting documentation is properly organized.
  • Assist with vendor invoice processing and payment administration.
  • Support month-end closing activities through data collection and reconciliation tasks.
  • Coordinate with internal stakeholders and external vendors on billing and payment matters.
  • Prepare basic financial reports and spreadsheets as required.

HR & Recruitment Support

  • Assist with posting job advertisements on recruitment platforms and company channels.
  • Coordinate interview scheduling and candidate communications.
  • Support onboarding activities, including document collection and employee orientation logistics.
  • Maintain employee records and HR documentation in an organized and confidential manner.
  • Assist with leave, probation, and employee information tracking.
  • Support HR initiatives, employee engagement activities, and internal communications.
  • Coordinate training registrations and learning administration when required.

Office Administration

  • Manage office supplies inventory and coordinate purchasing of stationery and office necessities.
  • Liaise with building management, vendors, and service providers for office maintenance matters.
  • Coordinate meeting room bookings and office facilities arrangements.
  • Organize company events, team gatherings, celebrations, and employee engagement activities.
  • Support travel, accommodation, and logistics arrangements when required.
  • Maintain office filing systems and administrative records.
  • Ensure the office environment remains organized, welcoming, and operationally efficient.

Requirements

Qualifications & Experience

  • Diploma or Degree in Business Administration, Finance, Accounting, Human Resources, or related disciplines.
  • 2 - 5 years of experience in an administrative, finance support, office administration, or HR coordination role.
  • Fresh graduates with strong internship experience may also be considered.

Skills & Competencies

  • Strong attention to detail and accuracy.
  • Good organizational and time management skills.
  • Ability to handle confidential information with discretion.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Comfortable working with finance, HR, and administrative systems.
  • Strong interpersonal and communication skills.
  • Ability to multitask and work independently in a dynamic environment.
  • Positive, proactive, and service-oriented mindset.
