Roles & Responsibilities


Supply Chain


  • Organize and execute Supply Chain activities to meet the customer’s requirements.
  • Ensure all logistics related documents to be retained for a minimum period of 7 years, as they are meant for business purposes and to meet compliance with legal, tax, accounting and regulatory laws.
  • Digital record keeping should be done as per the approved e-filing structure retained by Trade Compliance.
  • Ensure adequate training is provided to Logistic team member in using SAP and/or SPOT system to generate documents and conduct trade fulfillment on timely manner.
  • Monitor, coordinate and ensure proper execution of all trade/shipment matters including relevant customer complaints and to attend to disputes on weights/quality and difference in terms and conditions that may arise. This will require working closely with Quality Control team.
  • Coordinate and ensure that all monthly reports relevant to the refinery operations such as Stocks/Port Authority/Customs/ Insurance and any other bodies are prepared, checked and submitted on timely manner.
  • Ensure up-to-date records on Shipments/Export License, Bank Guarantee and documents needed for exports.
  • Initiate quality improvement, cost saving programmes, investigation of any non-conformities or discrepancies and ensure the effectiveness of all procedural implementation that may be implemented by the company from time to time.
  • Ensure all machineries consigned to the department are at the utmost performance level by ensuring on time servicing, calibration and maintenance.
  • Responsible for stock items listed in Stock Items document (finished packed products) and maintain the warehouse in an orderly manner.
  • Comply with various management systems at the BU e.g. ISO 45001, ISO 9001, ISO 14001, HACCP, RSPO, MSPO SCCS & other management systems requirement;
  • Manage, develop, train logistics team to work closely with other departments.
  • Periodically update Logistic Signature Specimen Document with Trade Compliance.


Quality, Food Safety, Health, Safety & Environment


  • Comply with and disseminate the company's Quality, Food Safety, and Health, Safety & Environment practices which will be updated from time to time and be guided by the Occupational Safety & Health Act 1994, Environmental Quality Act 1974, Food Act 1983, Food Hygiene Regulation 2009 and other applicable statutory & regulatory requirements.
  • Ensure that your subordinate/s comply with the relevant requirement of quality, food safety, safety and health and aware of environmental issues.
  • Report all accidents or potential accident situations to the QESH/HSE Executives, any member of the management team, any member of the Safety Committee or any member of the Auxiliary Police Section.
  • Report any quality or food safety deviations to the food safety or management team.
  • To assist or participate in any Quality, Food Safety, Health, Safety & Environment event/s organized by any quarters supported by the company.


Policies & Procedures


  • Personnel involved in logistics management and/or operations are required to strictly adhere to company and group policies and procedures at all times.
  • Adhere to Trade scheme processes and procedures e.g. MITI, Customs etc
  • Ensure compliance with the requirements of Sanctions laws when arranging shipments.
  • Ensure communication with authorities and external parties adhere to Notification, Reporting & Disclosure (NRD) procedures.


Authority:


  • Authorized to release all Trade Execution, Trade Scheme applications and Logistic related documents
  • Authorized to effect shipment as per contractual requirement
  • Authorized to update SAP, SPOT and Sime Weigh
  • Authorized to verify and approve all bills related to Logistics


Ideal Candidate


  • Bachelor’s degree in Business Management/Supply Chain or any other related field.
  • At least 7-10 years of relevant experience in Supply Chain, in a manufacturing environment.
  • Strong understanding of Incoterms and Malaysian Custom regulations.
