Responsibilities
Reporting to the partners, you will own the smooth running of the office and lead day-to-day HR and administrative operations, supporting a growing professional team. This is a broad, trusted role for someone organised, proactive, and personable, who enjoys keeping a busy office running well and bringing positive energy to the workplace.
Key Responsibilities
Human Resources
Manage HR administration, including issuing HR-related letters, coordinating with the outsourced payroll provider, and maintaining the HR management system
Handle onboarding and offboarding, including preparing laptops and equipment, setting up new staff, and processing exits
Organise company events and celebrations, including monthly progress meetings, birthday celebrations, the annual team building or company trip, and festive celebrations and gatherings
Compliance
Take care of the Group's regulatory compliance, including monitoring and renewing the Group's capital markets, employment agency, money lending, and other regulatory licences, tracking renewal deadlines, preparing documentation, and helping respond to regulator enquiries
Office Administration
Lead daily office administration and support operations to ensure a smooth workflow
Provide personal assistant support to the Directors, including scheduling, correspondence, and travel arrangements
Coordinate meetings and appointments (physical and online), and attend to office guests and clients, ensuring they are well received
Oversee office and pantry supplies, courier and document delivery, and maintenance of office facilities
Handle documentation, filing, and general record maintenance
Prepare letters, compile and bind reports, and liaise with vendors, service providers, building management, and relevant authorities
Assist with the Group's investment property matters, liaising with tenants, agents, and service providers as needed
Requirements
Diploma or Degree in Business Administration, Human Resources, or a related field
At least 3 years of relevant administrative and HR experience
Good command of spoken and written English; proficiency in Mandarin, Bahasa Malaysia, or other languages is an advantage
Proficient in Microsoft Office
Discreet and dependable, comfortable handling confidential information
Cheerful and personable, with a genuine passion for working with people
Detail-oriented, organised, and proactive, able to work with minimal supervision and track deadlines closely, as compliance timelines are critical and cannot be missed
