POSITION SUMMARY:
The Human Resources personnel is responsible for managing the full spectrum of Human Resources functions, ensuring compliance with Malaysian Employment Laws and company policies while supporting business operations through effective recruitment, employee engagement, performance management, payroll administration, and HR operational excellence.
1. Recruitment & Talent Acquisition
- Manage the full recruitment cycle, including manpower planning, job posting, candidate sourcing, screening, interviewing, selection, and onboarding.
- Coordinate interviews with hiring managers.
- Prepare employment contracts and offer letters.
- Conduct reference and background checks where applicable.
- Maintain recruitment records and hiring reports.
- Coordinate new employee orientation and induction.
2. Employee Onboarding & Offboarding
- Prepare onboarding documentation.
- Coordinate employee orientation programmes.
- Register employees into HR systems (EmplX).
- Conduct exit interviews.
- Manage resignation, termination, retirement, and mutual separation processes.
- Ensure proper asset return and clearance procedures.
3. Personnel Administration
- Maintain employee personal files and HR records.
- Update employee information in HR systems (EmplX).
- Prepare confirmation, promotion, transfer, demotion, salary adjustment, and contract renewal letters.
- Maintain confidential employee records.
- Issue employee verification letters when required.
4. Payroll Administration
- Prepare monthly payroll data.
- Verify attendance records.
- Calculate overtime, allowances, commissions, deductions, unpaid leave, and claims.
- Ensure payroll accuracy and timely submission.
- Liaise with Finance regarding payroll matters.
5. Attendance & Leave Management
- Monitor employee attendance.
- Manage annual leave, sick leave, unpaid leave, maternity, paternity, compassionate leave, and replacement leave.
- Ensure compliance with company leave policies.
- Investigate attendance irregularities.
6. Performance Management
- Coordinate probation reviews.
- Coordinate annual performance appraisals.
- Recommend confirmation, promotion, salary increment, or performance improvement plans.
- Maintain performance records.
7. Employee Relations
- Handle employee grievances.
- Investigate complaints.
- Mediate workplace conflicts.
- Promote employee engagement activities.
- Conduct counselling sessions where necessary.
8. Industrial Relations & Disciplinary Matters
- Handle disciplinary investigations.
- Prepare Show Cause Letters.
- Conduct Domestic Inquiry (where applicable).
- Prepare warning letters.
- Manage suspension and termination processes.
- Ensure disciplinary actions comply with Malaysian Employment Act.
9. Compensation & Benefits
- Administer salary reviews.
- Manage employee benefits.
- Coordinate medical claims.
- Monitor attendance allowance, transport allowance, meal allowance, and other company benefits.
10. Statutory Compliance – Currently share with finance
Ensure timely submission and compliance for:
- EPF (KWSP)
- SOCSO (PERKESO)
- EIS
- PCB (Income Tax)
- HRD Corp (Not yet)
- Employment Act 1955
- Occupational Safety & Health (where applicable) (Not yet)
- PDPA compliance
- Prepare and submit employment contracts and other eligible employment-related documents for LHDN Stamp Duty (e-Stamping).
11. HR Policies & Procedures
- Develop and update HR policies.
- Review Employee Handbook.
- Draft HR SOPs.
- Ensure consistent policy implementation.
12. HR Documentation
Prepare and maintain:
- Employment Contracts (Letter Of Appointment)
- Confirmation Letters
- Promotion Letters
- Transfer Letters
- Demotion Letters
- Salary Increment Letters
- Extension of Probation Letters
- Warning Letters
- Show Cause Letters
- Termination Letters
- Mutual Separation Agreements
- Internal Memos
- HR Circulars
- Company Announcements
- Maintain proper filing and tracking of stamped agreements for audit and compliance purposes.
13. HR Information System (HRIS)
- Maintain employee database.
- Update attendance systems.
- Manage employee self-service platforms.
- Generate HR reports.
- Ensure data accuracy.
14. Other Duties
- Assist Management with HR-related projects.
- Support business expansion activities.
- Perform any other duties assigned by Management from time to time.
Pay: RM3,800.00 - RM4,500.00 per month
