Job Summary:
- Responsible for providing administrative, operational, and HR support to ensure the smooth day-to-day office operations.
- Support office setup and management, employee administration, vendor coordination, and general office services while ensuring an efficient and positive workplace experience.
Key Responsibilities:
1) Office Administration & Operations
- Manage the day-to-day operations of the office and work closely with the team to ensure smooth office operations.
- Coordinate office maintenance, repairs, and facility-related matters with building management, vendors, and service providers.
- Maintain office records, filing systems, and administrative documentation to ensure accuracy and compliance.
2) Employee & Workplace Support
- Support onboarding administrative requirements for new hires.
- Manage employee building access, access cards, visitor registrations, and season parking applications.
- Serve as the primary point of contact for office-related employee enquiries and provide timely administrative support.
3) Company Houses Management
- Coordinate the administration of company houses.
- Liaise with landlords / property management, and service providers to coordinate maintenance, repairs, and related matters.
4) Office Supplies & Inventory Management
- Monitor and replenish office stationery, pantry supplies, and other office consumables.
- Coordinate procurement, purchasing, and deliveries with vendors.
- Maintain inventory records and ensure adequate stock levels are available at all times.
5) Vendor, Visitor & Event Coordination
- Coordinate with vendors, contractors, and external service providers to support office operations.
- Arrange meeting rooms and provide administrative support for meetings, company events, and employee engagement activities.
- Welcome and coordinate visitors, guests, and external stakeholders to ensure a positive office experience.
6) HR & Administrative Support
- Assist with employee communications and support internal administrative processes.
- Support HR initiatives, employee engagement activities, and other administrative projects as assigned.
- Perform other ad hoc administrative and operational duties to support business and office requirements.
Job requirements:
- Minimum 2–3 years of experience in administration, receptionist, front desk, or office support.
- Experience in managing office operations, facilities, and administrative processes is an advantage.
- Good communication and interpersonal skills with the ability to interact professionally with employees, vendors, landlords, and external stakeholders.
- Well-organized, detail-oriented, and able to multitask in a fast-paced environment.
- Able to coordinate with vendors, building management, and service providers.
- Positive attitude, responsible, and able to work independently as well as in a team.
