Your primary objective is simple:

Maximise fleet utilisation by ensuring machines are repaired quickly, spare parts are available, rental administration runs efficiently, and every rental is invoiced accurately and on time.

You will work closely with Sales, Technical, Inventory, Logistics, Purchasing, Finance, and Branch Operations to ensure seamless execution across our rental business in Malaysia.

Key Responsibilities Fleet Utilisation & Asset Performance

• Maximise rental fleet utilisation across all branches.
• Monitor fleet availability and minimise machine downtime.
• Analyse idle fleet and implement recovery plans.
• Review fleet deployment and recommend transfers between branches.
• Track fleet productivity and identify underperforming assets.

Workshop & Repair Operations

• Oversee machine repair scheduling and prioritisation.
• Ensure workshop turnaround times meet company KPIs.
• Monitor work-in-progress repairs daily.
• Coordinate urgent repairs for customer bookings.
• Improve repair planning and workshop efficiency.
• Ensure repairs comply with safety and quality standards.

Spare Parts & Inventory Management

• Ensure critical spare parts are always available.
• Monitor inventory levels, reorder points, and lead times.
• Work closely with Purchasing & Store to prevent stock shortages.
• Optimise inventory while avoiding excessive stockholding.

Rental Administration

• Lead the Rental Administration team.
• Ensure rental contracts are accurate and processed promptly.
• Monitor machine reservations, dispatches, and off-hires.
• Ensure ERP records are accurate and updated in real time.
• Standardise rental documentation and procedures.
• Improve customer response times.

Billing & Invoicing

• Lead the Rental Invoicing team.
• Ensure all invoices are issued accurately and promptly.
• Verify rental periods, transport charges, damages, overtime, and additional billable items.
• Minimise revenue leakage by ensuring all chargeable items are captured.
• Resolve billing disputes with Sales and Finance.
• Monitor unbilled rentals and overdue billing.

Operational Planning

• Coordinate machine transfers to maximise utilisation.
• Monitor delivery schedules with Logistics.
• Support new fleet commissioning and machine decommissioning.

Process Improvement

• Review operational workflows and eliminate inefficiencies.
• Develop Standard Operating Procedures (SOPs).
• Drive continuous improvement initiatives.
• Lead cross-functional improvement projects.

Leadership

• Lead, coach, and develop the Rental Operations team.
• Build a high-performance, accountable culture.
• Set departmental KPIs and monitor performance.
• Conduct regular team meetings and performance reviews.
• Foster collaboration across departments.

What We're Looking For :

Qualifications

• Bachelor's Degree in Engineering, Business Administration, Operations Management, Supply Chain, or a related field.
• Minimum 3 years' experience in equipment rental, heavy machinery, logistics, construction equipment, fleet management, or industrial operations.
• Leadership experience managing cross-functional teams.
• Experience with ERP systems is an advantage.
