Tasks & responsibilities
- Administrative Support
- Provide administrative assistance to the Maintenance Department, including filing, record-keeping, and managing maintenance documentation.
- Keep records of maintenance requests, repairs, and service logs up to date.
- Prepare reports on work orders, completed repairs, and maintenance schedules.
- Coordinate communication between maintenance technicians, store management, and vendors.
2. Vendor Coordination
- Help manage vendor relationships and maintain an updated list of approved vendors and service providers.
- Communicate with vendors about maintenance schedules, quotes, and work requirements.
- Monitor vendor performance to ensure compliance with company standards.
3. Inventory & Supplies Management
- Maintain accurate records of maintenance tools, materials, and supplies.
- Assist with ordering parts and materials, ensuring inventory is well-stocked.
- Track usage of supplies to avoid shortages and maintain efficient levels.
4. Scheduling & Budgeting Support
- Assist with preparing and managing maintenance budgets by tracking expenses.
- Coordinate schedules for routine inspections and preventive maintenance.
- Help plan and schedule major repairs, renovations, or upgrades.
5. Maintenance Documentation & Reporting
- Maintain and update all maintenance documentation, including warranties and service agreements.
- Ensure proper logging of maintenance activities for audits and reports.
- Generate and review monthly or quarterly reports on maintenance activities and costs.
6. Additional Duties
- Support the team with other administrative tasks or projects as needed.
- Assist in preparing reports, presentations, or meetings related to maintenance.
- Participate in training to enhance skills and knowledge.
Qualifications & experience
- Education: SPM, high school diploma, or equivalent; further education or certifications in business administration or facilities management is a plus
- Experience: Minimum of 1-2 years in administrative roles, preferably in a facilities maintenance or retail environment.
- Skills: Proficiency in MS Office (Excel, Word) and familiarity with maintenance management software. Excellent communication skills, both written and verbal, to interact with internal teams and external vendors.
- Physical: Ability to perform general office duties, including filing, using a computer, and answering phones.
- Languages: Proficient in English, Mandarin, and Bahasa Malaysia.
- Travel: Occasional travel to various store locations may be required for vendor coordination or administrative support during store openings or maintenance activities.
Pay: RM2,500.00 - RM3,000.00 per month
