Finance Responsibilities
- Prepare and consolidate daily, monthly, quarterly, and yearly financial reports, including hotel revenue, owner accounts (assets & expenses), P&L, cash flow, forecasts, and investment plans for submission to Headquarters in Japan.
- Coordinate with the hotel's Finance team on owner-related financial matters, including monthly payments, asset management, and financial reporting.
- Process Director remuneration, intercompany loan repayments, loan interest payments, withholding tax, assessment tax, quit rent, and other statutory financial obligations.
- Maintain the company's asset register and coordinate asset purchases and disposals.
- Liaise with external auditors, tax agents, Bank Negara Malaysia, LHDN, and other relevant authorities to ensure timely statutory reporting, including annual audits, quarterly Bank Negara reports, and Form E submission.
- Ensure compliance with all financial reporting deadlines and statutory requirements.
Administration / Personal Assistant Responsibilities
- Provide executive, administrative, and secretarial support to the Managing Director while serving as the key liaison with the hotel management, Headquarters in Japan, Company Secretary, and external stakeholders.
- Coordinate meetings, appointments, travel, accommodation, transportation, dining arrangements, and document execution for Directors visiting from Japan.
- Handle correspondence, confidential documents, reporting requests from Headquarters, filing, and corporate governance matters, including Directors' Written Resolutions (DWR), Annual Returns, and SSM submissions.
- Coordinate insurance claims and incident follow-ups with the Engineering team and insurance providers.
- Manage the Managing Director's administrative and personal matters, including residential maintenance, maid applications, transportation arrangements, and other assigned support.
- Oversee general office administration, including incoming calls, stationery, pantry supplies, housekeeping, office facilities, company vehicle, and driver coordination.
Requirements:
- Diploma/Degree in Accounting, Finance, Business Administration, or related field.
- 3–5 years of relevant Finance/Accounting experience.
- Experience in full sets of accounts, financial reporting, audit, and tax coordination.
- Proficient in Microsoft Excel and Office; UBS experience is an advantage.
- Good knowledge of financial statements, General Ledger, and P&L reporting.
- Strong communication, organizational, and multitasking skills.
- Able to work independently and interact professionally with senior management and external stakeholders.
- Japanese language proficiency is an advantage.
*Contract for 4 months
Pay: RM4,500.00 - RM6,000.00 per month
