Job Description

Responsibilities

Job Responsibilities:

  • Oversee the day-to-day administrative operations to ensure the smooth functioning of the office.
  • Manage office administration, facilities, equipment, and general maintenance.
  • Maintain accurate company records, documents, contracts, and filing systems.
  • Coordinate administrative support across all departments.
  • Monitor office supplies, stationery, and inventory, and liaise with vendors and service providers.
  • Ensure compliance with company policies, procedures, and statutory requirements.
  • Prepare administrative reports, budgets, and operational documentation.
  • Organize meetings, appointments, travel arrangements, and company events.
  • Assist in HR administrative duties, including onboarding, attendance records, leave administration, and employee documentation.
  • Handle incoming correspondence, phone calls, and internal communications.
  • Resolve administrative issues promptly and recommend process improvements to enhance office efficiency.
  • Perform any other administrative duties assigned by Management.

Requirements:

  • Minimum 2–5 years of relevant experience in administration or office management.
  • Strong organizational, planning, and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Ability to multitask, prioritize work, and meet deadlines.
  • Self-motivated, responsible, and able to work independently with minimal supervision.
  • Strong problem-solving and decision-making abilities.

Preferred Qualifications:

  • Diploma or Bachelor's Degree in Business Administration, Management, or a related discipline.
  • Experience in supervising administrative staff.
  • Knowledge of HR administration and office management systems.
  • Experience in the construction or engineering industry will be an added advantage.
