Job Description

Responsibilities

We are looking for a hands-on HR & Admin Executive to manage core HR operations, statutory compliance, and office administration.

This role requires strong knowledge of Malaysian labour laws, industrial relations, and work visa processing, as well as the ability to liaise with government agencies in Bahasa Malaysia.

We need someone who can own the full HR lifecycle, handle employee relations matters with confidence, and keep office operations running smoothly.


HR:

  • Ensure full compliance with the Employment Act 1955. Handle disciplinary matters, grievances, show cause letters, domestic inquiries (DI), and termination processes.
  • Manage end-to-end Employment Pass (EP) applications, renewals, and cancellations via MDEC, ESD, and Immigration Department.
  • Process monthly payroll and statutory contributions (EPF, SOCSO, EIS, PCB), and annual tax filings (Form E, EA).
  • Support full-cycle recruitment—job postings, screening, interviews, offer letters, and onboarding.
  • Act as the primary point of contact for employee queries on HR policies, benefits, and procedures.
  • Coordinate staff training programs, HRDC claims, and employee engagement activities.

Admin:

  • Manage office operations including procurement, vendor coordination, office supplies, and facility maintenance.
  • Oversee office access control, asset tracking, and general administrative support.
  • Prepare HR reports, memos, and internal communications.
  • Handle ad-hoc tasks as assigned.

Requirements:

  • Diploma or Degree in Human Resource Management, Business Administration, or related field.
  • Minimum 3–5 years of experience in HR and/or administrative roles (Fresh graduates with strong academic records may be considered).
  • Strong knowledge of Malaysian Labour Law and Industrial Relations.
  • Hands-on experience with Employment Pass / work visa processing (MDEC, ESD) is a strong advantage.
  • Proven experience in payroll processing and statutory compliance (EPF, SOCSO, EIS, PCB, Form E, EA).
  • Excellent command of Bahasa Malaysia and English (written and spoken)—must be comfortable communicating with government agencies in Bahasa Malaysia.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Strong interpersonal skills with a proactive, service-oriented, and problem-solving mindset.
  • Able to work independently with minimal supervision and multitask effectively.
