Job Summary
We are seeking a proactive and detail-oriented Medical Procurement Officer to manage the procurement of medical supplies, pharmaceuticals, equipment, and general operational items. The successful candidate will ensure timely purchasing, maintain optimal inventory levels, coordinate with suppliers, and support smooth daily operations while ensuring quality, cost efficiency, and compliance with healthcare standards.
Key Responsibilities
Source and evaluate suppliers for medical supplies, pharmaceuticals, medical equipment, and general office supplies.
Obtain quotations, compare pricing, and negotiate favorable terms with suppliers.
Prepare and process Purchase Orders (PO) and monitor order status until delivery.
Coordinate with suppliers to ensure timely delivery and resolve any supply or quality issues.
Monitor inventory levels and replenish stock to avoid shortages or overstock.
Arrange purchases according to operational requirements and approved budgets.
Verify deliveries against purchase orders and report discrepancies.
Maintain procurement records, supplier databases, contracts, and documentation.
Build and maintain strong relationships with vendors to ensure reliable supply.
Work closely with clinic, pharmacy, laboratory, and operations teams to understand procurement needs.
Ensure purchased products comply with regulatory requirements, quality standards, and company policies.
Support cost-saving initiatives while maintaining product quality and service standards.
Prepare procurement reports and assist with stock planning and inventory audits.
Qualifications
Diploma or Bachelor's Degree in Business Administration, Procurement, Supply Chain Management, Logistics, Healthcare Management, or a related field.
Minimum 2 years of experience in procurement or purchasing, preferably in the healthcare, medical, pharmaceutical, or laboratory industry.
Knowledge of medical products, consumables, pharmaceuticals, or healthcare procurement is an advantage.
Experience in supplier sourcing, price negotiation, and purchase order management.
Strong negotiation, communication, and organizational skills.
Proficient in Microsoft Office (especially Excel) and ERP or inventory management systems.
Able to work independently, manage multiple priorities, and meet deadlines.
Detail-oriented with strong analytical and problem-solving skills.
Good command of English and Bahasa Malaysia.
