Job Description

Responsibilities

Job Responsibilities:

1. Take overall charge of daily office operations and office facilities management, conduct negotiations on office tenancy agreements, and deliver special projects including office renovation and relocation.

2. Coordinate preparations for board meetings, annual general meetings, investor communications and other corporate events; oversee corporate travel arrangements and visitor reception services.

3. Manage administrative vendors, negotiate various service contracts, formulate the annual administrative budget, and control and review monthly administrative expenses.

4. Establish, refine and update the corporate administrative management system; supervise administrative teams including front desk staff and drivers, and standardise departmental workflows.

5. Standardise the filing and confidential management of administrative documents, corporate seals and enterprise archives; cooperate with the Company Secretary and audit team to complete compliance reviews and annual audits.

6. Corporate IT administration: Oversee overall corporate office informatisation management and maintain daily operation of office systems; sort out and optimise internal online workflows to digitalise and standardise administrative work; liaise with system service providers to resolve maintenance issues.

7. Complete ad-hoc special assignments assigned by management.

Job Requirements

1. Bachelor’s degree or above with over 10 years of administrative management experience (including no less than 2 years of administrative experience at Hong Kong listed companies) and more than 3 years of team management experience.

2. Fluent in Cantonese and Mandarin; proficient in written and spoken English, capable of independently handling full English business documents and external communications.

3. Skilled in the full suite of office software and mainstream office systems; solid experience in budget planning, cost control and vendor negotiation.

4. Excellent overall coordination and multi-tasking capabilities, strong confidentiality awareness, and competence in handling emergencies.

5. Familiar with Hong Kong office leasing regulations, workplace safety standards and administrative compliance requirements for listed companies.

6. Possess a mindset for corporate informatisation and digital office management; familiar with office system maintenance and process optimisation, able to independently implement internal informatisation projects.

7. Candidates with relevant work experience in both Mainland China and Hong Kong are preferred.
