Job Description

Responsibilities

Motul Malaysia invites a proactive and detail-oriented Credit Control Executive to join our Finance team. This role is critical in managing the company's accounts receivable portfolio, ensuring timely collection of customer payments, maintaining accurate customer accounts and supporting healthy cash flow across the business.


Working closely with the Sales, Customer Service and Finance teams, you will be responsible for customer account reconciliation, credit control, debt collection and credit risk monitoring while maintaining strong professional relationships with distributors, dealers and customers. The role also supports continuous process improvement to strengthen financial controls, operational efficiency and customer experience.


This role will be based in Motul Malaysia Office in Puchong, Selangor, Malaysia.


Job Responsibilities & Accountabilities


Accounts Receivable & Customer Account Management

  • Manage and maintain accurate customer accounts, invoices, receipts, credit notes, debit notes and account adjustments within the ERP system.
  • Perform customer account reconciliations and resolve discrepancies including unapplied receipts, short payments, overpayments and disputed transactions.
  • Prepare and issue monthly customer statements, ensuring accuracy of outstanding balances and supporting documentation.
  • Maintain complete and accurate accounts receivable records to support monthly closing and year-end activities.


Credit Control & Debt Collection

  • Monitor customer ageing reports and proactively follow up on outstanding and overdue balances through telephone calls, emails and formal correspondence.
  • Obtain payment commitments, monitor adherence to agreed payment dates and maintain regular follow-up until accounts are fully settled.
  • Escalate significant overdue accounts, disputed balances and payment risks to the Finance Manager and relevant commercial stakeholders.
  • Support debt recovery activities, including coordination with external collection agencies or legal representatives where required.
  • Recommend appropriate credit actions, including credit holds, revised payment terms or account suspension in accordance with company policies.


Credit Risk & Customer Account Review

  • Review customer payment behaviour, credit limits and account utilisation to identify potential credit risks.
  • Support new customer credit evaluations by reviewing applications and required supporting documents.
  • Conduct periodic customer account reviews and reconciliation exercises for distributor and key accounts.
  • Collaborate with Sales and Customer Service teams to resolve pricing, delivery, documentation or billing disputes affecting collections.


Sales & Business Support

  • Work closely with Sales teams to improve collection performance while maintaining positive customer relationships.
  • Provide updated ageing reports, customer statements and collection status to support account management activities.
  • Support the timely release of sales orders in accordance with approved credit limits and payment terms.
  • Provide customer payment information and collection updates to support commercial discussions and account reviews.


Reporting, Month-End & Audit Support

  • Prepare daily, weekly and monthly accounts receivable, collection and ageing reports.
  • Monitor collection performance, overdue balances, payment commitments and bad debt exposure.
  • Support monthly financial closing activities by completing accounts receivable reconciliations and ensuring timely posting of receipts and adjustments.
  • Prepare supporting schedules and documentation for internal and external audits, management reporting and cash flow forecasting.


Process Governance & Continuous Improvement

  • Ensure compliance with the company's finance, credit control and approval policies.
  • Maintain organised records of customer correspondence, collection activities and supporting documentation.
  • Identify opportunities to improve billing, payment allocation, reporting and collection processes.
  • Support automation and continuous improvement initiatives relating to accounts receivable and credit control.
  • Perform other finance-related duties assigned by the Finance Manager.


Job Requirements

  • Bachelor's Degree in Accounting, Finance, Business Administration or a related discipline
  • At least 3 4 years of relevant experience in Accounts Receivable, Credit Control, Debt Collection or Finance Operations
  • Experience managing distributor, dealer or business-to-business customer accounts will be an advantage
  • Experience within the automotive, lubricants, manufacturing, FMCG, distribution or trading industries would be preferred
  • Good understanding of accounts receivable, credit control, debt collection and customer account reconciliation processes
  • Proficient in ageing analysis, financial reporting and payment allocation
  • Experience using ERP or accounting systems
  • Strong Microsoft Excel skills, including formulas, lookups, pivot tables and account analysis
  • Good written and verbal communication skills in English and Bahasa Malaysia
  • Strong attention to detail, financial accuracy and follow-through
  • Able to work independently, manage competing priorities and collaborate effectively with Sales, Customer Service and Finance teams
  • High level of integrity and discretion when handling customer and financial information
