JOB PURPOSE
Coordinate the Company’s regulatory and authority submissions, maintain compliance registers and calendars, administer SOP compliance monitoring, and coordinate the annual review and refresh of the Corporate Risk Profile (CRP). The role provides disciplined follow-up, reliable records and timely escalation to support regulatory compliance, conformance with applicable ISO requirements and effective governance.
KEY RESPONSIBILITIES
- Coordinate, prepare and submit applications, registrations, renewals and supporting documents to SEDA, TNB, ST, MIDA, MGTC, local authorities and other relevant agencies.
- Maintain an end-to-end regulatory submission tracker covering requirements, responsible owners, supporting documents, status, authority queries, approvals, expiry dates and outstanding actions.
- Review submission packages for completeness and accuracy, liaise with internal stakeholders and authorities, and follow up proactively until approval or closure.
- Maintain the legal and regulatory register, compliance calendar, licence and renewal tracker, and supporting evidence of compliance.
- Monitor changes to applicable authority procedures, forms, portals and regulatory requirements and communicate relevant updates to affected departments.
- Administer the SOP compliance-monitoring programme, obtain evidence from process owners, record deviations, track corrective actions and prepare compliance dashboards.
- Coordinate the periodic review/annual refresh of the Corporate Risk Profile, including obtaining risk updates from respective risk owners, consolidating new or changed risks, updating risk ratings and mitigation actions based on approved inputs/evidence, maintaining the risk and mitigation registers, and escalating overdue or incomplete responses to the Assistant Manager.
- Maintain the central corrective-action and finding tracker arising from QA/QC, HSE, audits, complaints, authority observations and management reviews.
- Support implementation and ongoing compliance with ISO 9001 and ISO 45001 requirements, including documentation, internal audits, evidence collection, management-review records and certification activities.
- Prepare clear monthly and exception reports on regulatory submissions, renewals, legal-register updates, SOP compliance, CRP review status, mitigation progress and overdue actions.
- Coordinate with departments, consultants, auditors and authorities while ensuring process owners remain accountable for operational compliance.
KEY REQUIREMENTS
- Degree in business administration, law, corporate administration, quality, risk, engineering, renewable energy or a related discipline.
- 2–4 years of relevant experience in regulatory submissions, compliance, project administration, governance, risk, quality systems or authority liaison.
- Strong ability to manage registers, trackers, formal documentation and deadline-driven submissions with high accuracy.
- Familiarity with SEDA, TNB, ST, MIDA, MGTC or local-authority processes is preferred; solar PV, renewable energy, engineering or EPCC exposure is advantageous.
- Exposure to ISO 9001 and ISO 45001 requirements, internal audit, document control, SOP monitoring or risk registers is an advantage.
- Strong attention to detail, follow-through, integrity, stakeholder coordination and confidence to escalate overdue or potentially non-compliant matters.
- Proficient in Microsoft Excel, Word and PowerPoint; good English and Bahasa Malaysia; valid driving licence and willingness to attend authority offices or project sites when required.
Pay: RM2,000.00 - RM3,500.00 per month
