Responsibilities

POSITION SUMMARY:

We are looking for an efficient Senior HR Operations Specialist to undertake a variety of HR administrative duties. You will provide support to end to end daily HR functions in particular supporting Talent Acquisition effort.The ideal candidate will have a broad knowledge of Human Resources as well as general administrative responsibilities. He/ She will be able to work autonomously and efficiently to ensure the end-to-end running of HR projects and operations. To succeed in this role, you should be familiar using HR software and tools.Ultimately, you should be able to contribute to the attainment of specific goals and results of the HR department and the organization.

RESPONSIBILITIES:

Attendance and System Administration
  • Provide service desk support of computerized system & assist employees to solve their system problems in day-to-day HR operational duties.
  • Clear e-mails and system queries on daily basis.
  • Update shift changes in system promptly according to master list and calendar/working schedule.
  • Responsible to solve issues on login access, reset password, apps download, approval problems, technical errors, user guidelines, etc of time attendance & leave system.
  • Respond to leave, overtime & edit attendance application issues.
  • Assist to check, generate, export reports from time attendance & leave system on timely manner.
  • Work with team member to complete payroll requirements within deadlines.
  • Assist to compile data, prepare reports & spreadsheets.
  • Follow through pending items in system with employees and HODs until matter closed.
  • Track submission in system and resolve any errors to help ensure correct processing in payroll.
  • Carry out any other duties as assigned by superior(s) from time to time.
  • Adhere to organizational requirements on quality management, health and safety, code of conduct, legal stipulations, environmental, 5S policies and general duty of care.

New Join and Leaver Process
  • Register badge card for newly joined employees & perform accurate data entry in the system.
  • Responsible to deactivate employees that have ended employment.
  • Assist to post AR register for absconded employees.
  • Coordinate new hire and new approver process in system including sending notification for login access, provide user guidelines, system introduction, e-mail creation, etc.
  • Ensure completion of exit clearance form for employees ending employment.

Payroll and Benefits Administration
  • Collections employee data on a monthly basis to ensure that payroll is processed correctly by the Asia Regional Payroll Processing Center. This includes gathering employee information regarding overtime, paid time off and sick leave and ensuring they are tracked in the system and submitted in a timely manner.
  • Checking the employee’s attendance report from Time Management System and generate report for management.
  • Work with the Asia Regional Payroll Processing Center to research issues related to any payroll errors
  • Coordinate basic benefits tasks, such as claim resolutions and reconciling benefits statements.

Record Maintenance
  • Assist to maintain physical HR files and e-databases.
  • Assist to follow-up and maintain employee personal update form, application forms, agency documentations, leave hardcopies and similar HR records.
  • Perform admin tasks such as filling of forms, billings & prepare invoice summary.
  • Adhere to organizational requirements on quality management, health and safety, code of conduct, legal stipulations, environmental, 5S policies and general duty of care.
  • Support other functions as assigned.

WORK ENVIRONMENT:
  • Location: Penang Science Park, Simpang Ampat Penang.
  • Mostly office environment with some travel up to 10% of time.
QUALIFICATIONS:
  • Strong understanding of traditional HR Process: staffing, C&B, organization design, performance management, Talent Acquisition, HR measurement and legal compliance.
  • Understanding of workforce demographic issues/trends.
  • Proven ability to effectively deal with conflict.
  • Ability to deliver operationally and will possess a strong mix of strategic and operational HR skills.
  • Strong relationship management skills; a skillful team player with the ability to network effectively up, down and across the business.
  • Excellent communication skills; articulate, possessing both credibility and integrity.
  • Assertiveness, confidence, a self-starter.
  • English language capabilities.

EXPERIENCE:
Essential:
  • Knowledge of human resources processes and best practices.
  • Minimum of 1-3 years working experience in similar scope.
  • Strong ability in using MS Office (MS Excel and MS PowerPoint, in particular).
  • Experience with HR databases and HRIS systems .
  • Ability to work with HR software.
  • In-depth understanding of sourcing tools, like resume databases and online communities.
  • Familiarity with social media recruiting.
  • Outstanding communication and interpersonal skills .Strong phone, email and in-person communication skills.
  • Ability to handle data with confidentiality.
  • Good organizational and time management skills.
  • Thorough knowledge of labor laws.
  • Excellent organizational skills, time management skills with an ability to prioritize important project.
Desirable:
  • Proven experience as an HR Representative or relevant human resources/administrative function.

EDUCATION:
Essential:
  • Degree in Human Resources, Business, or any related field.
