About the Role:

  • The incumbent will support the Vice President, Store Design & Construction in driving procurement optimization, cost governance, and administrative efficiency across the Group’s retail project portfolio.
  • Support tender processes, cost benchmarking, vendor management, and internal governance to ensure projects are delivered within approved budgets, compliant with company policies, and aligned with strategic procurement initiatives, alongside line manager.
  • Coordinate other aspects of project management which include responsibilities such as administrative, operations and/ or financial duties.
  • Promote positive relations by dealing professionally and fairly with all contractors and vendors and continually instiling this philosophy in project team.


3. KEY AREAS OF RESPONSIBILITIES

A) Procurement & Cost Optimisation

· Identify procurement opportunities across retail projects (millwork, general contractors, consultants, M&E, logistics, fixtures).

· Conduct cost benchmarking across markets and suppliers.

· Support commercial evaluation of quotations, BOQs, and contract terms.

· Assist in negotiation preparation with vendors and contractors.

· Develop cost comparison models and savings simulation exercises with alignment with line manager

· Support supplier consolidation and preferred vendor framework initiatives.

· Present reports defining project progress, problems and solutions.

· Implement and manage project changes and interventions to achieve project outputs.

· Project evaluation and assessment of results.


B) Tender Management & Vendor Coordination

· Coordinate and administer tender processes in collaboration with Project Managers and Procurement team.

· Prepare tender documentation, evaluation matrices, and recommendation papers.

· Support contract administration and variation tracking.


C) Financial & Administrative Governance

· Monitor CAPEX commitments against approved budgets.

· Consolidate project cost reports and provide variance analysis.

· Support audit documentation and compliance reviews.


D) Strategic & Reporting Support to VP, PROCURMENT,

· Prepare commercial reports, dashboards, and executive summaries.

· Consolidate regional procurement data for management review.

· Support business case preparation for major procurement decisions.


E) Others

· Perform other duties as assigned by the Vice President, Project & Design.

· Ensure compliance with Valiram Group Code of Conduct and company policies.


POSITION SPECIFICATION:

  • Diploma/ bachelor’s degree in business, Supply Chain, Quantity Surveying, Finance, Construction Management or related field.
  • Minimum 2-3 years of experience in procurement, commercial administration, or project cost management, preferably within retail fit-out or multi-site project environments.
  • Structured, analytical, and detail-oriented.
  • Able to operate in a fast-paced regional environment.
  • Strong stakeholder management skills.
  • High integrity and governance mindset.
  • Able to work independently while supporting senior leadership directly.
  • Fluent English and both in written and spoken. Knowledge of other languages is added advantage.
