Description and Requirements

1. Calendar and Meeting Coordination

  • Manage and maintain calendars for 2–3 senior employees.

  • Schedule internal and external meetings, ensuring effective prioritization and optimal calendar management.

  • Coordinate meeting logistics, including meeting room reservations, virtual meeting setup, and distribution of invitations.

  • Monitor scheduling conflicts and proactively recommend solutions.

  • Coordinate with internal and external stakeholders to ensure meeting readiness and attendance.

2. Travel Arrangement

  • Coordinate domestic and international business travel, including flights, hotels, ground transportation, and visa applications where applicable.

  • Prepare and maintain detailed travel itineraries and supporting documentation.

  • Ensure travel arrangements comply with company travel policies and budget guidelines.

  • Assist with travel changes, cancellations, and urgent travel-related issues.

3. Expense Claim Processing

  • Prepare, review, and submit expense claims for assigned senior employees accurately and on time.

  • Verify receipts and supporting documentation to ensure compliance with company policies.

  • Track claim status and follow up on approvals, reimbursements, and exceptions.

  • Maintain organized records of expense submissions and related documentation for audit purposes.
