Key Responsibilities
HR Operations
- Manage the full employee lifecycle, including onboarding, confirmation, transfers, resignations, and offboarding.
- Prepare and issue HR documents such as Offer Letters, Employment Contracts, Confirmation Letters, Promotion Letters, Warning Letters, and other employment-related documentation.
- Ensure all HR records are accurate, confidential, and updated in internal HR databases and Excel trackers.
- Maintain employee personal files and ensure compliance with company policies and statutory requirements.
Employee Relations
- Handle employee grievances, disciplinary matters, counselling sessions, and Performance Improvement Plan (PIP) processes.
- Provide guidance to employees and managers on HR policies and employment matters.
- Ensure HR practices comply with the Employment Act 1955 and other Malaysian labour regulations.
Payroll & Benefits
- Coordinate monthly payroll preparation and verify attendance, leave records, overtime, allowances, and salary adjustments.
- Administer employee insurance policies, including renewals and claims coordination.
- Liaise with payroll vendors and relevant government agencies when necessary.
HR Administration
- Maintain and update HR Standard Operating Procedures (SOPs).
- Generate HR reports and employee data using Microsoft Excel.
- Ensure HR documentation is properly organized and audited.
General Administration
- Assist in office administrative duties including processing invoices such as TNB, water bills, and other operational expenses.
- Coordinate with vendors and service providers regarding office administration matters.
Requirements
- Bachelor's Degree in Human Resource Management, Business Administration, or related discipline.
- Minimum 4–6 years of HR Operation / Generalist experience.
- Strong understanding of Malaysian Employment Act, Labour Law, disciplinary procedures, and PIP management.
- Hands-on experience in payroll processing and employee insurance administration.
- Experience handling onboarding, offboarding, and employment documentation.
- Strong Microsoft Excel skills.
- Excellent organizational and interpersonal skills.
- Able to handle confidential information professionally.
Pay: Up to RM6,000.00 per month
