Job Summary
The Production Administrator is responsible for providing administrative and documentation support to the Production Department. This role ensures the accurate preparation, organization, filing, and maintenance of production-related documents while supporting the production team in daily administrative activities. The position plays a key role in facilitating smooth communication and workflow between Customer Service, Planning, Sales, and Production departments.
Job Responsibilities
- Print and prepare Production Sheets (PS) based on orders released by the Customer Service Department.
- Compile, organize, and maintain Purchase Orders (PO) together with the corresponding Production Sheets (PS).
- Scan and archive Production Sheets (PS) in designated electronic folders and systems.
- Manage the filing, storage, and retrieval of production-related documents, including Purchase Orders (PO), Production Sheets (PS), Work Orders (WO), and other relevant records.
- Provide administrative and documentation support to the Production Team to ensure efficient daily operations.
- Maintain accurate and up-to-date production records in compliance with company procedures.
- Coordinate documentation flow between Sales, Planning, Customer Service, and Production departments.
- Assist in ensuring the timely preparation and availability of production documents.
- Perform other administrative duties and ad hoc assignments as directed by the Production Manager or Head of Department (HOD).
Job Requirements
- Diploma, Certificate, or equivalent qualification in Business Administration, Management, Operations, or a related field.
- Minimum 1 year of administrative experience, preferably in a manufacturing or production environment.
- Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Strong organizational and document management skills with high attention to detail.
- Good filing, record-keeping, and data entry capabilities.
- Ability to work independently and manage multiple tasks effectively.
- Good communication and interpersonal skills with the ability to work collaboratively across departments.
- Responsible, reliable, and able to meet deadlines in a fast-paced environment.
- Knowledge of production documentation and manufacturing processes will be an added advantage.
Job Types: Full-time, Permanent
Pay: RM1,800.00 - RM2,000.00 per month
