Role Overview
We’re looking for a detail-oriented and proactive General HR Specialist to manage core HR operations and support the full employee lifecycle. You’ll be responsible for contract administration, timesheet processing, payroll calculation, and seamless onboarding/offboarding experiences. This role ensures accuracy, compliance, and a positive employee journey while serving as a trusted point of contact for HR-related inquiries.
Key Responsibilities
HR & Payroll Administration
- Draft, review, execute, and archive employee contract agreements (offer letters, employment contracts, NDAs, policy acknowledgments, etc.)
- Manage contract lifecycle tracking, renewals, amendments, and compliance documentation
- Collect, verify, and process employee timesheets in alignment with company policies, shift schedules, and labor regulations
- Calculate and process payroll for outsourced employees, including overtime, leave deductions, bonuses, and tax withholdings
- Lead onboarding and offboarding processes, ensuring timely paperwork, system setup, equipment assignment, and exit interviews
- Maintain accurate, confidential employee records
- Serve as the first point of contact for employee questions regarding contracts, timesheets, payroll, and HR policies
- Partner with department managers to ensure timely processing of HR documentation and payroll deadlines
- Support compliance with local, state, and federal employment laws; assist in audits, reporting, and policy updates as needed
Office & General Administration
- Manage office supply inventory: monitor stock levels, place orders, receive deliveries, and distribute materials
- Coordinate facility maintenance, vendor relationships (cleaning, IT, security, etc.), and workspace safety checks
Required Qualifications & Skills
- Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent practical experience)
- 2–4 years of experience in HR administration, payroll processing, contract management, or employee lifecycle operations
- Hands-on experience drafting/managing employment contracts and maintaining compliance documentation
- Proven ability to collect, reconcile, and process timesheets with high accuracy
- Experience calculating payroll, tracking deductions, and reconciling hours against compensation cycles
- Strong knowledge of employment standards, leave policies, and basic HR compliance requirements
- High attention to detail with exceptional accuracy in handling sensitive data and financial information
Pay: From RM4,000.00 per month
