MY ROLE PURPOSE

To provide the right service to our Sales Executives and in line with the ISO 9001 standard. Offering end to end administrative support and liaison with other internal stakeholders supporting the business to maintain and develop profitable business in specific geographic markets.

MY RESPONSIBILITIES

• Maintain/Update FOM Cost Price list (also known as ‘PQ Excel File’).
• Assist in updated FOM Cost Price Requests.
• Maintain/Update Technical Documents in Shared_data Drive.
• Maintain/Update Compatibility Check Results in Shared_date Drive.
• Assist in preparing Win Report.
• Support the Commercial Team (Filing and Admin).
• Sample Despatch :
• - Safely pack and organize samples to FOIL/FOFE and external customers.- Maintain records of all submission and courier information.
• Fragrance Library Management :
• - Manage and upkeep fragrance samples whenever necessary for Fragrance Library.
• - Maintain/Update Library Database File in Shared_data Drive.- Weigh out and blend fragrance with base, and transfer them into containers with labels, following formulation requirements.- Maintain records of all demo preparation information.- Perform housekeeping of the laboratory.
• Job Requirement
• Strong customer focus, able to work well with internal stakeholders with good written and oral communication skills
• Previous administrative experience, with solid experience of MS Office, with specific focus on Outlook,
• Word and Excel, ideally experience of working with an ERP system
• Ability to work to deadlines, approaching work in a planned and organized way, able to prioritise own workload, working on own initiative
• Process Sample Requests upon requests from Commercial Team ( via IFS ).
• Application Samples (Demo) Preparation in Laboratory :
• General Office Administration
• Support ad-hoc tasks
