Position Summary

We are seeking a proactive and detail-oriented HR Executive to support the full spectrum of Human Resources operations. This role is responsible for managing employee lifecycle processes, including onboarding, employment documentation, payroll administration, attendance management, employment pass processing, office administration, and employee relations while ensuring compliance with the Employment Act 1955 and other Malaysian labor regulations.

The ideal candidate will have experience supporting an organization of approximately 200 employees and possess strong knowledge of Malaysian HR practices and statutory requirements.

Key ResponsibilitiesHR Administration

  • Prepare and issue employment-related documents, including:
  • Offer Letters
  • Employment Contracts
  • Confirmation Letters
  • Promotion Letters
  • Salary Adjustment Letters
  • Transfer Letters
  • Warning Letters
  • Resignation Acceptance Letters
  • Employment Verification Letters
  • Maintain accurate and up-to-date employee personnel files and HR records.
  • Ensure all HR documentation complies with company policies and Malaysian labor laws.
  • Manage employee data within the HR Information System (HRIS).

Onboarding & Offboarding

  • Coordinate end-to-end onboarding activities for new hires.
  • Prepare onboarding documentation and orientation materials.
  • Coordinate induction sessions with relevant departments.
  • Ensure timely collection of mandatory employment documents.
  • Coordinate employee exits, including clearance, exit interviews, and final documentation.

Payroll & Timekeeping

  • Administer monthly payroll inputs for approximately 200 employees.
  • Verify attendance, leave records, overtime, allowances, and payroll adjustments.
  • Maintain employee attendance and timekeeping records.
  • Liaise with payroll vendors or internal finance teams to ensure accurate and timely salary processing.
  • Prepare payroll reports as required.

Statutory & Compliance

  • Administer statutory contributions, including:
  • EPF (KWSP)
  • SOCSO (PERKESO)
  • EIS
  • PCB (Monthly Tax Deduction)
  • Ensure compliance with the Employment Act 1955, Industrial Relations Act, and other applicable Malaysian labor regulations.
  • Maintain confidentiality of employee records and payroll information.

Employment Pass & Immigration

  • Process Employment Pass (EP), Professional Visit Pass (PVP), Dependent Pass, and related immigration applications.
  • Coordinate with immigration authorities and appointed agents on work permit applications, renewals, and cancellations.
  • Monitor visa expiry dates and ensure timely renewals.
  • Prepare supporting documentation for expatriate employment matters.

Employee Relations

  • Serve as the first point of contact for employee HR-related inquiries.
  • Support employee engagement initiatives and welfare programs.
  • Assist in resolving employee concerns and workplace issues.
  • Support disciplinary processes in accordance with company policies and Malaysian labor legislation.
  • Maintain positive employee relations and promote a healthy workplace culture.

Office Administration

  • Manage office administration and facilities coordination.
  • Maintain office supplies and equipment inventory.
  • Coordinate with vendors, building management, and service providers.
  • Support company events, meetings, and employee activities.
  • Ensure a safe, organized, and productive office environment.

HR Operations

  • Monitor employee probation periods and coordinate confirmation processes.
  • Maintain leave administration and attendance records.
  • Generate HR reports and employee analytics.
  • Assist in policy implementation and continuous process improvements.
  • Support HR audits and compliance reviews.
  • Perform other HR and administrative duties assigned by management.

Qualifications

  • Bachelor's Degree in Human Resource Management, Business Administration, or a related field.
  • Minimum 3–5 years of experience in Human Resources, preferably handling full-spectrum HR functions in Malaysia.
  • Fresh graduate is encourage to apply for junior role.
  • Experience managing HR operations for an organization with approximately 200 employees is preferred.

Pay: From RM3,200.00 per month
