Scope and General Purpose of the Job
The Human Resources Executive assists with the administration of the day-to-day operations of the human resources functions and duties. The HR Executive carries out responsibilities in some or all the following functional areas: departmental development, employee relations, training and development, benefits, compensation, organization development, executive administration, and employment.
Main Duties and Responsibilities
- Review, monitor, and update employee leave and time attendance records in the HR system accurately and within the stipulated timeline.
- Verify, calculate, and process employee overtime applications in accordance with company policies and procedures.
- Maintain systematic filing and proper documentation of all branch-related records and correspondences.
- Ensure employee information and records are accurately maintained and regularly updated in the HR system.
- Ensure all employee personal files are complete, up to date, and compliant with company documentation requirements.
- Coordinate with the IT Service Desk to facilitate system access transfers, activation, and deactivation for employees.
- Prepare, review, and issue employment-related letters, including confirmation, transfer, promotion, and other HR correspondence.
- Liaise with insurance providers and update monthly staff movement records to ensure accurate employee coverage.
- Coordinate with relevant authorities, including the Labour Department, to lodge complaints and manage cases involving absconded employees.
- Review and verify employee allowances and claims to ensure accuracy, legitimacy, and compliance with company policies.
- Prepare onboarding, offboarding, and staff movement checklists, and ensure timely distribution to relevant departments and branches.
- Communicate proactively with department managers regarding staff movements to facilitate manpower planning and operational continuity.
- Prepare and disseminate company announcements, memos, policies, and staff movement notifications (e.g., new hires, resignations, transfers, redesignations, promotions, and terminations) as required.
- Monitor the Employee Referral Programme and process referral payouts upon successful completion of confirmation and probation requirements.
- Compile and generate HR reports related to headcount, employee turnover, recruitment, and new joiners.
- Assist in payroll administration by preparing and verifying payroll-related reports and supporting documentation.
- Assist in employee relations matters, including disciplinary investigations, domestic inquiries (DI), and misconduct cases.
- Coordinate and support meetings and HR-related activities, including scheduling, agenda preparation, minute-taking, and distribution of meeting materials.
- Perform any other ad hoc duties, assignments, or projects as assigned by the Supervisor or Management from time to time.

- Preferable 3 to 5 years of relevant working experience.
