Responsibilities and Duties:
Departmental Administration & Operations
- Provide general administrative and operational support to the Rehabilitation Department.
- Coordinate departmental meetings and administrative activities.
- Coordinate orientation for interns, students and job shadowers.
- Manage staff and student administrative matters.
- Process and coordinate administrative claims.
- Generate departmental reports and statistics as required.
Training & Education Support
- Coordinate training logistics with the Rehabilitation Education and Training Team.
- Carry out training evaluations with the Rehabilitation Education and Training Team.
Procurement, Inventory & Resource Management
- Source quotations and assist with procurement and purchasing activities.
- Perform inventory control, stock management and maintenance.
- Conduct inventory and asset verification checks.
- Monitor resource utilisation and highlight issues relating to resource usage and targets.
Quality Improvement
- Assist in identifying operational issues and areas for improvement.
- Recommend and implement process improvement initiatives.
Staff Welfare & Engagement
- Administer funds for social and recreational activities within the Rehabilitation Division.
- Recommend and provide feedback on the utilisation of staff welfare funds.
General Responsibilities
- Prepare reports, data and statistics as required.
- Perform other duties and projects as assigned by the supervisor.
Job Specifications
- Diploma in Business Administration, Healthcare Administration, Office Management, or a related discipline.
- Preferably 1-3 years working in administrative or operations support, preferably in a healthcare setting.
- Experience in procurement, inventory management or data reporting willbe an advantage.
- Proficient in computer applications
- Good planning and time management skills
- Able to prioritise work effectively
- Maintain the confidentiality, integrity and security of departmentalinformation, data and records.
- Fresh graduates with relevant internship experience may also be considered.
