Responsibilities
Responsible for performing clerical duties, typing, answering phone calls, preparing correspondences, memorandum filing and maintaining departmental office supplies inventory.
RESPONSIBILITIES:
1.0 Primary Duties:
1.1 Performs office administrative work and secretarial duties.
1.2 Answers telephone calls courteously by using standard telephone answering techniques and attend to guest request promptly.
1.3 Maintains a proper filing system.
1.4 Schedules departmental meetings and prepare minutes for records.
1.5 Maintains a proper leave tracking record for Housekeeping associates.
1.6 Checks all in-coming event orders and updates department communication board with necessary information on functions for the Hotel.
1.7 Ensures receiving, forwarding and follows up all information pertaining to the department in order to maintain set standards and achieve maximum guest satisfaction.
1.8 Assists Executive Housekeeper / Asst. Exec. Housekeeper in preparing, receiving and distributing reports.
1.9 Receives, records and transmits guests’ request.
1.10 Registers, stores and returns lost and found items with acknowledgement for any kind of transaction. This includes valuable items which are not claimed by guests after one year. Prior to distribution to the associate clearance must be obtained from the Director of Finance / Financial Controller.
1.11 Handles keys according to set procedure and update key record book daily.
1.12 Ensures accurate stock level of supplies, stationery and printing material.
1.13 Ensures accurate flow of communication between guests, superior staff, room attendants and other departments.
1.14 Distributions of documents must be recorded and acknowledged by recipient as proof.
2.0 Secondary Duties:
2.1 Participates as a team player in department and Hotel activities.
2.2 Accepts and screens telephone calls. Refers calls to others where relevant, in a most courteous manner and in accordance with the Hotel’s standard phrases.
2.3 Attends to guest / colleagues needs in a courteous and efficient manner at all times by conducting oneself in a professional manner so as to encourage fellow colleagues to do likewise.
2.4 Maintains effective discipline and good industrial relations amongst the Hotel’s employees at all times.
2.5 Demonstrates awareness of OSHA policies and procedures and ensures all procedures are conducted safely and within the OSHA guidelines.
2.6 Be aware of duty care owed and adhere to occupational, health and safety legislation, policies and procedures.
2.7 Be familiar with property safety, first aid and fire and emergency procedures and the operation of equipment safely and sensibly.
2.8 Initiates actions to correct a possible hazardous situation and notifies supervisors of potential dangers.
2.9 Performs other duties that may be assigned by Executive Housekeeper / Asst. Exec. Housekeeper on ad-hoc basis.
ABILITIES / KEY COMPETENCIES / SKILLS:
- Good communication skills.
EDUCATION / CERTIFICATES / EXPERIENCE:
- Primary Education or equivalent.
Some housekeeping experience.
