Job Description

Responsibilities

We are seeking a highly dedicated and resilient Corporate Administrator who will also concurrently serve as the Personal Assistant (PA) to the Managing Director (MD). This role requires a unique blend of financial administrative support and high-level, fast-paced executive assistance.

Due to the nature of supporting top-level management and handling cross-border business operations, the successful candidate must possess high stamina and a commitment to operational readiness. Regular overtime, structured evening/weekend duties, and ad-hoc task execution outside of standard office hours are strictly required to ensure seamless business continuity.

Key Responsibilities:

  • Executive PA Support: Act as the primary point of contact for the Managing Director; manage a complex, dynamic calendar, schedule high-level meetings, and coordinate extensive business travel logistics.

  • On-Call & After-Hours Assistance: Provide comprehensive personal and professional administrative support to the MD, including managing urgent, last-minute requests outside of standard working hours and during weekends.

  • Finance Administration: Assist in processing daily financial transactions, including accounts payable/receivable, corporate expense claims tracking, and multi-currency billing reconciliations.

  • Corporate Documentation: Prepare, review, and organize highly confidential business proposals, monthly financial statements, board meeting minutes, and regulatory audit documents.

  • Operations & Errands: Oversee general office maintenance, manage corporate vendor relationships, and execute ad-hoc operational errands as directed by the management.

Job Requirements

  • Education: Minimum a Bachelor’s Degree in Finance, Business Administration, Accounting, or a strictly related discipline.

  • Experience & Knowledge: Solid foundational understanding of corporate finance or accounting principles. Prior internship or administrative experience supporting senior executives is highly valued.

  • Work Flexibility & Resilience: Must be fully committed to working flexible and extended hours (including mandatory overtime and weekend tracking) to accommodate the MD’s demanding schedule and business emergencies.

  • Technical & Language Skills: High proficiency in Microsoft Office (especially Excel for financial tracking). Excellent professional English writing skills are mandatory for drafting executive-level correspondence.

  • Core Competencies: Exceptional attention to detail, extreme organizational skills, and an ironclad sense of confidentiality and integrity when handling sensitive corporate and financial data.
