The Service Advisor / Consultant acts as the primary point of contact between customers and the dealership’s service department. The role is responsible for receiving vehicles for service and repair, understanding customer concerns, preparing repair orders, communicating service recommendations, coordinating with workshop technicians, and ensuring a high level of customer satisfaction throughout the service process.
Key Responsibilities
Customer Reception & Consultation
- Greet customers in a professional and courteous manner.
- Conduct vehicle walk-around inspections with customers.
- Listen carefully to customer concerns and accurately document complaints or requested services.
- Explain service procedures, estimated costs, and expected completion times.
Repair Order Management
- Prepare and open repair orders in the dealership management system (DMS).
- Ensure all customer information and vehicle details are recorded accurately.
- Obtain customer authorization for repairs and additional work.
Service Coordination
- Liaise with workshop controllers and technicians regarding vehicle diagnosis and repair progress.
- Monitor repair status and ensure timely completion of work.
- Arrange parts availability and coordinate with the Parts Department when necessary.
Customer Communication
- Provide regular updates to customers on repair progress.
- Explain diagnostic findings and recommended repairs in a clear and understandable manner.
- Handle customer inquiries, concerns, and complaints promptly and professionally.
Vehicle Delivery
- Review completed repair orders and ensure all work has been carried out correctly.
- Explain completed repairs and charges to customers during vehicle collection.
- Ensure the vehicle is clean and ready for delivery.
- Encourage customers to return for future maintenance and service needs.
Administrative Duties
- Maintain accurate service records and documentation.
- Process warranty claims and supporting documents where applicable.
- Ensure compliance with dealership policies, manufacturer standards, and safety procedures.
Experience
- Minimum 1–2 years of experience in a customer service or automotive service environment.
- Experience in an authorized dealership is preferred.
Skills & Competencies
- Strong customer service and interpersonal skills.
- Good communication skills in English and Bahasa Malaysia (Mandarin is an added advantage).
- Basic automotive technical knowledge.
- Ability to explain technical information in simple terms.
- Computer literacy and familiarity with DMS systems.
- Good organizational and time management skills.
- Ability to work under pressure in a fast-paced environment.
Pay: RM1,700.00 - RM2,500.00 per month
