About the Opportunity
The Specialist, Payroll supports the delivery of accurate, timely, and compliant payroll operations across APAC, with a primary focus on Hong Kong payroll. This role is responsible for payroll data validation, reconciliations, statutory documentation, and employee query handling, while operating within established payroll processes and controls.
The Specialist works closely with Payroll Managers, Payroll Specialists, Finance, and People & Culture teams to ensure payroll accuracy, regulatory compliance, and a positive employee experience. While complex or high-risk matters are escalated appropriately, the role independently manages day-to-day payroll operations with a strong emphasis on precision, accountability, and compliance.
Key Responsibilities
Payroll Execution & Data Management
Collect, validate, and process payroll input data (e.g. allowances, deductions, overtime, commissions, final payments) in line with payroll calendars and cut-offs.
Ensure payroll data accuracy and completeness prior to payroll processing, particularly for Hong Kong statutory and regulatory requirements.
Support payroll checks and assist in payroll output validation.
Perform payroll reconciliations, identify discrepancies, and escalate unresolved issues to the Payroll Manager.
Support payroll activities related to new hires, transfers, resignations, and terminations.
Payroll Compliance & Documentation
Maintain accurate payroll records in accordance with internal controls, audit requirements, and data privacy standards.
Prepare and issue statutory payroll documents (e.g. IR56B, IR56E, IR56F, IR56G, MPF-related documentation, termination-related payroll documents) in line with Hong Kong regulations.
Support accurate processing of MPF contributions, tax reporting requirements, and final payments.
Ensure adherence to company payroll policies, statutory obligations, and documented SOPs across supported markets.
Ensure payroll activities are executed in accordance with documented SOPs, approval matrices, maker-checker controls, and audit requirements.
Maintain strict confidentiality and handle sensitive employee payroll data with professionalism and integrity.
Stakeholder Support & Query Resolution
Act as a first point of contact for employee payroll queries, providing clear, accurate, and timely responses.
Track recurring payroll issues and trends, escalating systemic or complex matters for root-cause resolution.
Partner with People & Culture and Finance teams to resolve payroll discrepancies, clarifications, and reporting needs.
Process Support & Systems Monitoring
Run standard payroll and audit reports to validate payroll accuracy and identify missing or inconsistent data.
Monitor payroll system integrations and interfaces, flagging potential issues or data breaks.
Support payroll system testing (UAT/regression testing) during system enhancements, regulatory updates, or vendor changes to ensure payroll continuity.
Identify opportunities to improve payroll processes, controls, reporting, automation, and operational efficiency.
Support continuous improvement initiatives focused on payroll accuracy, controls, automation, and operational efficiency.
What We’re Looking For
Minimum 2 years of payroll operations experience, with Hong Kong payroll exposure strongly preferred.
Diploma or Bachelor’s degree in Accounting, Finance, Human Resources, Business, or a related field.
Working knowledge of the Hong Kong Employment Ordinance, Inland Revenue Department (IRD) requirements, and MPF regulations is a plus.
Experience supporting regional or multi-country payroll operations is an advantage.
Familiarity with outsourced payroll vendors and payroll systems is a plus.
High attention to detail and comfort working with systems and government portals.
Ability to work independently, prioritize tasks effectively, and meet deadlines in a fast-paced environment.
Highly adaptable, proactive, and a team player with a strong sense of ownership.
Comfortable working onsite and collaborating with regional teams.
