Responsibilities
We are looking for a proactive and detail-oriented Administrative Executive to support the Hong Kong office of ARK Wealth Management. This role is responsible for the smooth running of daily office operations, providing dedicated administrative support to senior executives, and coordinating internal meetings and corporate events. The ideal candidate is highly organized, discreet, and comfortable working in a fast-paced financial services environment.
This position is engaged through an outsourcing/staffing agency contract.
Key ResponsibilitiesOffice Administration
Manage day-to-day office operations, including supplies, facilities, vendor coordination, and general office upkeep
Handle incoming/outgoing mail, courier services, and office equipment maintenance
Support procurement processes and liaise with building management/vendors as needed
Maintain filing systems and ensure proper documentation and record-keeping
Executive Support
Manage daily schedules, calendars, and appointments for senior executives
Arrange domestic and international travel, including flights, hotels, and itineraries
Prepare and process expense reports and reimbursements
Draft, proofread, and manage correspondence and internal communications on behalf of executives
Meeting & Event Coordination
Organize and coordinate internal and external meetings, including room bookings, technology setup, and catering
Prepare meeting agendas, materials, and minutes as required
Support planning and execution of company events, client functions, and team activities
Coordinate logistics for visiting guests, clients, and delegations
General Support
Act as a key point of contact between departments and external parties
Assist with ad hoc projects and administrative tasks as assigned by management
Bachelor's degree in Business Administration or a related field preferred
Minimum 2–3 years of relevant administrative or executive assistant experience, ideally within financial services, wealth management, or a professional services environment
Fluent Mandarin (spoken and written) is required; proficiency in Cantonese and English is a strong advantage
Strong organizational and multitasking skills with excellent attention to detail
Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
Excellent interpersonal and communication skills; able to interact professionally with senior executives, clients, and external partners
High level of discretion and ability to handle confidential information appropriately
Positive, service-oriented attitude with the ability to work independently and under pressure
Immediately available or short notice preferred
