Job Summary
The Human Resources Executive is responsible for supporting and managing the day-to-day HR operations, including recruitment, employee relations, payroll administration, performance management, training coordination, policy implementation, and compliance with Malaysian employment laws.
Key Responsibilities1. Recruitment & Onboarding
- Manage the full recruitment cycle, including job postings, candidate sourcing, screening, interviews, and selection.
- Coordinate interview schedules with hiring managers.
- Prepare employment offer letters and employment contracts.
- Conduct new employee onboarding and orientation.
- Ensure all new hire documentation is complete.
2. Payroll & Compensation
- Prepare and verify monthly payroll inputs.
- Manage employee attendance, overtime, leave, and claims.
- Coordinate payroll processing with Finance or the payroll provider.
- Ensure timely payment of salaries.
- Administer statutory contributions, including:
- EPF (KWSP)
- SOCSO (PERKESO)
- EIS
- PCB (Income Tax)
- HRD Corp Levy
3. Employee Relations
- Handle employee inquiries regarding HR policies and procedures.
- Address employee grievances and workplace issues.
- Promote positive employee engagement and communication.
- Maintain employee records and personal files.
4. Performance Management
- Coordinate probation reviews and employee confirmations.
- Manage annual performance appraisals and KPI evaluations.
- Monitor performance improvement plans (PIP).
- Prepare performance review reports.
5. Training & Development
- Coordinate internal and external training programmes.
- Maintain employee training records.
- Manage HRD Corp training grants and claims.
- Identify employee development needs.
6. HR Administration
- Prepare HR letters, including:
- Confirmation letters
- Warning letters
- Promotion letters
- Transfer letters
- Resignation acceptance letters
- Termination letters
- Maintain HR documentation and filing systems.
- Update employee databases and HRIS.
7. Leave & Attendance Management
- Monitor attendance records.
- Administer annual leave, sick leave, emergency leave, maternity and paternity leave.
- Ensure compliance with company policies.
8. Policy & Compliance
- Ensure compliance with the Employment Act 1955 and other applicable Malaysian labour laws.
- Update and implement HR policies and procedures.
- Support internal and external HR audits.
9. Employee Benefits
- Administer employee medical claims and insurance.
- Manage employee benefit enrolment and updates.
- Coordinate annual medical check-ups and wellness programmes where applicable.
10. HR Reporting
- Prepare monthly HR reports, including:
- Headcount
- Turnover
- Recruitment status
- Attendance
- Leave reports
- Overtime reports
- Training reports
- Performance review status
Pay: RM3,000.00 - RM5,000.00 per month
