Responsibilities

Job Summary

The Human Resources Executive is responsible for supporting and managing the day-to-day HR operations, including recruitment, employee relations, payroll administration, performance management, training coordination, policy implementation, and compliance with Malaysian employment laws.

Key Responsibilities1. Recruitment & Onboarding

  • Manage the full recruitment cycle, including job postings, candidate sourcing, screening, interviews, and selection.
  • Coordinate interview schedules with hiring managers.
  • Prepare employment offer letters and employment contracts.
  • Conduct new employee onboarding and orientation.
  • Ensure all new hire documentation is complete.

2. Payroll & Compensation

  • Prepare and verify monthly payroll inputs.
  • Manage employee attendance, overtime, leave, and claims.
  • Coordinate payroll processing with Finance or the payroll provider.
  • Ensure timely payment of salaries.
  • Administer statutory contributions, including:
  • EPF (KWSP)
  • SOCSO (PERKESO)
  • EIS
  • PCB (Income Tax)
  • HRD Corp Levy

3. Employee Relations

  • Handle employee inquiries regarding HR policies and procedures.
  • Address employee grievances and workplace issues.
  • Promote positive employee engagement and communication.
  • Maintain employee records and personal files.

4. Performance Management

  • Coordinate probation reviews and employee confirmations.
  • Manage annual performance appraisals and KPI evaluations.
  • Monitor performance improvement plans (PIP).
  • Prepare performance review reports.

5. Training & Development

  • Coordinate internal and external training programmes.
  • Maintain employee training records.
  • Manage HRD Corp training grants and claims.
  • Identify employee development needs.

6. HR Administration

  • Prepare HR letters, including:
  • Confirmation letters
  • Warning letters
  • Promotion letters
  • Transfer letters
  • Resignation acceptance letters
  • Termination letters
  • Maintain HR documentation and filing systems.
  • Update employee databases and HRIS.

7. Leave & Attendance Management

  • Monitor attendance records.
  • Administer annual leave, sick leave, emergency leave, maternity and paternity leave.
  • Ensure compliance with company policies.

8. Policy & Compliance

  • Ensure compliance with the Employment Act 1955 and other applicable Malaysian labour laws.
  • Update and implement HR policies and procedures.
  • Support internal and external HR audits.

9. Employee Benefits

  • Administer employee medical claims and insurance.
  • Manage employee benefit enrolment and updates.
  • Coordinate annual medical check-ups and wellness programmes where applicable.

10. HR Reporting

  • Prepare monthly HR reports, including:
  • Headcount
  • Turnover
  • Recruitment status
  • Attendance
  • Leave reports
  • Overtime reports
  • Training reports
  • Performance review status

Pay: RM3,000.00 - RM5,000.00 per month
