The Executive Office
As Oon & Bazul continues to grow, we are expanding our Executive Office to support the firm's leadership. We are recruiting for two distinct roles:
Executive Business Partner – a high-trust strategic partner to the Managing Partner.
Executive Administration Coordinator – responsible for the operational and administrative excellence of the Executive Office.
ROLE 1
Executive Business Partner to the Managing Partner
About Oon & Bazul
Oon & Bazul is one of Singapore's leading disputes-only law firms, acting in complex, high-value litigation, arbitration, fraud, insolvency and cross-border disputes.
We are seeking an exceptional Executive Business Partner to become the trusted right hand of our Managing Partner.
This is not a traditional Executive Assistant role. It is a high-trust position requiring exceptional judgement, initiative and execution. You will operate at the centre of the firm's leadership, ensuring the Managing Partner is always prepared, informed and focused on what matters most.
What you will own
As Executive Business Partner, you will:
- Own and manage the Managing Partner's Executive Office, ensuring competing priorities are effectively coordinated and nothing falls through the cracks.
- Anticipate needs, solve problems proactively and remove obstacles before they arise.
- Manage the Managing Partner's calendar, meetings, travel and key commitments with sound judgement and discretion.
- Coordinate with relevant Partners and prepare high-quality correspondence, presentations, briefing papers and other executive communications.
- Track strategic initiatives, decisions and follow-up actions, ensuring timely execution across the firm.
- Support business development, professional engagements and the Managing Partner's external profile.
- Leverage AI and technology to improve productivity, streamline workflows and enhance the effectiveness of the Executive Office.
- Provide discreet support in relation to confidential personal and business matters where required.

Experience & Qualifications
- At least 8 years' experience supporting senior executives, partners or C-suite leaders, preferably within legal or professional services.
- Outstanding written and verbal communication skills.
- Strong organisational, planning and stakeholder management abilities.
- Advanced proficiency in Microsoft Office and AI tools is essential.
- Degree or equivalent professional experience.
ROLE 2
Executive Administration Coordinator
About the Role
The Executive Administration Coordinator provides essential operational and administrative support to the Executive Office, ensuring the smooth day-to-day running of a fast-paced disputes practice.
Working closely with the Executive Business Partner, you will coordinate the administrative, logistical and organisational matters that enable the Executive Office to operate efficiently and seamlessly.
What You'll Own
- Coordinate diaries, meetings, travel, logistics and executive schedules.
- Prepare documents, meeting materials, correspondence and administrative records to a consistently high standard.
- Support billing, expense claims, reimbursements and other financial administration.
- Maintain organised electronic and physical filing systems, ensuring accuracy and confidentiality.
- Coordinate internal meetings, action trackers, events and executive projects.
- Use AI and technology to improve efficiency and streamline administrative processes.
- Provide reliable administrative support across a variety of confidential matters and ad hoc projects.

Experience & Qualifications
- At least 3 years' experience in an executive administration, legal secretary or executive support role, preferably within legal or professional services.
- Excellent organisational and communication skills.
- Strong proficiency in Microsoft Office and confidence using AI tools such as ChatGPT, Copilot or similar.
- Experience with legal practice management systems is an advantage.
