Job Summary
The Payment Operations Team Lead is responsible for leading the day-to-day payment operations during the assigned shift, ensuring all payment transactions are processed accurately, securely and within the required service level. The role will supervise the shift team, manage payment and bank account operations, monitor fund availability, resolve operational issues and coordinate with relevant internal and external stakeholders.
Key Responsibilities
- Lead and supervise the payment operations team according to the assigned rotating shift.
- Allocate daily tasks, monitor team performance and ensure proper handover between shifts.
- Oversee the end-to-end processing of payment requests, including verification, approval checking, execution and payment status follow-up.
- Monitor bank accounts and payment channels to ensure sufficient fund availability for daily payment operations.
- Coordinate fund allocation, transfers and account adjustments based on operational requirements and approved procedures.
- Perform and review reconciliation between bank records, payment channels and internal systems.
- Investigate payment failures, settlement discrepancies, disputes and other operational incidents, ensuring timely resolution and escalation.
- Conduct root cause analysis and recommend corrective or preventive actions for recurring operational issues.
- Monitor unusual transaction activities and ensure compliance with internal controls, approval limits and operational procedures.
- Prepare daily, weekly and monthly operational reports, including transaction status, outstanding cases, team performance and incident analysis.
- Collaborate with stakeholders to resolve payment-related issues.
- Coach and support team members, including onboarding, training, quality monitoring and continuous performance improvement.
- Undertake other payment operations or ad hoc duties as assigned.
Job Requirements
- Diploma or Bachelor’s Degree in any discipline.
- At least 3–5 years of experience in payment operations, banking operations, fintech, financial services, fund operations or a related back-office environment.
- Minimum 1 year of experience in leading a team, supervising daily operations or acting as a senior point of contact.
- Hands-on experience in payment processing, bank account operations, settlement, reconciliation and discrepancy investigation.
- Experience in handling payment incidents, transaction disputes, operational risks or suspicious transaction activities would be an advantage.
- Strong task allocation, problem-solving, analytical and stakeholder-management skills.
- Able to manage time-sensitive transactions and make appropriate decisions in a fast-paced operational environment.
- Proficient in Microsoft Excel and other reporting or operational tools.
- Good command of written and spoken English and Mandarin for communication with regional stakeholders.
- Willing and able to work on rotating shifts, including weekends and public holidays where required.
- Detail-oriented, responsible, proactive and capable of working independently under pressure.
