About the Role

We are seeking a proactive and detail-oriented Admin Executive on a 6 month contract basis to support the day-to-day administrative, tenant relations, and operational activities of our property portfolio. The role involves coordinating with tenants, vendors, and internal stakeholders to ensure smooth building operations and a positive tenant experience.


Key Responsibilities

  • Provide administrative support to the Head Office and Maintenance team, including correspondence, record management, filing, and general office administration.
  • Serve as the first point of contact for tenant enquiries, complaints, and service requests, ensuring timely follow-up and resolution.
  • Manage tenant communications, including notices, circulars, billing distribution, and access requests in accordance with building guidelines.
  • Support building operations by coordinating maintenance activities, monitoring facility conditions, and liaising with service providers to ensure operational standards are maintained.
  • Maintain records of tenancy agreements, service contracts, licences, and statutory certifications, ensuring timely renewals and compliance requirements are met.
  • Assist with regulatory submissions, audits, inspections, and adherence to company policies and procedures.
  • Prepare monthly invoices for rental, parking, and other charges, monitor collections, follow up on arrears, and coordinate with Accounts on billing and reconciliation matters.
  • Support procurement activities, including sourcing quotations, preparing purchase orders, coordinating service delivery, and verifying invoices.
  • Oversee day-to-day car park administration, including season pass management, collection verification, incident follow-up, and coordination with security personnel.
  • Assist with security administration by reviewing attendance records, validating overtime claims, and following up on discrepancies where required.


Requirements

  • Diploma in Business Administration, Property Management, Facilities Management, or a related discipline.
  • Relevant administrative, property management, or facilities coordination experience
  • Proficient in Microsoft Office applications.
  • Strong organisational skills with attention to detail and accuracy.
  • Good communication and interpersonal skills, with the ability to work effectively with tenants, vendors, and stakeholders.
  • Able to multitask, prioritise work, and operate independently in a fast-paced environment.
  • Experience in property management or building operations will be an advantage.
