Job Description

Responsibilities

Overview

We are looking for a proactive and detail-oriented intern to support one of our multi-party strategic programs. This role is a blend of high-level stakeholder management, event operations, and digital content coordination. You will play a key role in executing our mid-term review and launching our digital presence.

Key Responsibilities

1. Event & Program Coordination

  • Assist in the end-to-end planning and execution of a review meeting for Principal Investigators (PIs), scientists, students and Steering Committee members (50+ pax).
  • Source and liaise with internal and external parties (venue, catering, and AV) to ensure seamless event delivery.
  • Manage complex calendars across multiple stakeholders to finalize meeting timelines.

2. Stakeholder Engagement & Documentation

  • Act as a point of contact for research teams, tracking inputs and ensuring all program updates are submitted on time.
  • Prepare professional meeting materials, draft comprehensive minutes, and maintain an organized digital filing system for all program documentation.

3. Digital Content & Website Development

  • Collect and consolidate content (e.g., project descriptions, PI profiles) from multiple stakeholders.
  • Work directly with external web developers to support the development of a programme website
  • Ensure content completeness, clarity, and consistency; Finalize web copy and layout based on feedback from PIs and committee members.

4. General Administrative & Ad-Hoc Support

  • Assist with ad-hoc administrative duties
  • Help design or format slide decks, posters, or communication materials
  • Provide front-of-house assistance during the event, managing registration and attendee queries.
  • Conduct ad-hoc research for special projects or vendor comparisons as requested

Requirements

  • Good written and verbal communication skills.
  • Strong organisational and time management skills, with the ability to prioritise multiple tasks and meet competing deadlines.
  • Good analytical and problem-solving skills.
  • Proficient in Microsoft Office (Word, Excel, PPT).
